The First 20 things to do to hire someone!

Before Hiring

  1. Determine the hours and pay of the position. Fill out a Payroll Status Form with that information. Name and personal information should be left blank.
  2. Receive application from applicant
  3. Schedule interview
  4. Review application
  5. Create file for the person with application. (even if they are not hired)
  6. Call references
  7. Call to let them know if they have or have not been hired

Upon Hiring (In Phone Conversation)

  1. Upon hiring, direct them to the Oregon Child Care background check. They need this to start working with kids.
  2. After they have scheduled their fingerprint (which they have to receive confirmation in the mail). Schedule training.
  3. They will also need to go online to the Oregon Childcare and complete the Mandated Reporting Class and the Health and Safety class. (both free)

First Day/Training

  1. On their first day, they need to submit the following: Background Check Clearance, Driver’s License (Copy), Social Security (Copy), School Transcripts, The Health and Safety Mandated Reporting Class Certificatesand a 3 or 5 year driving record (They obtain at the DMV).
  2. You will have a W4, I9, Payroll Status, At Will Employee Form, Employee Handbook form, Meal Break Waiver, a job description, and an ORO coversheet Printed out for them to fill out.
  3. You will give them a copy of the most recent training manual & the employee handbook.
  4. Review and train using the employee handbook and how a day normally operates.
  5. They need to take a CPR/First Aid ClassFood Handlers (They have to pay for it)
  6. Send copies in via mail to ORO: Transcripts, Class Certificates including First Aid/CPR & Food Handlers, and Coversheet
  7. Send to Chalena Harley via email: Application, W4, I9,Payroll Status,At Will Employee, Employee Handbook form, Meal Break Waiver, Job Description, DL, and SS.
  8. Have the new employee watch both driving videos and fill out affidavit saying they watched the videos. Submit the affidavit, Driver’s License, and Driving Record to Beth Harley. She will put them on the insurance. You can train them to drive the vans upon calling Beth to confirm they are on the insurance.
  9. Put staff into schedule and continue training in manual in practical.
  10. Use the checklist to confirm all needed documents. Attach the checklist to their personnel file with all of the above documents.
