JOB DESCRIPTION
TITLE OF POST:Pilgrimage Assistant
Job Purpose:Administration and support of the Pilgrimage
Accountable/Reporting to: Director of Fundraising & PR
Line Manager for:Pilgrimage Volunteers
Grade:NJC Scl points (14-17), £20,310 to £21,252 (pro rata)
Location:12 Adelaide Street, WC2N 4HW / on the Pilgrimage in Kent
Hours:126hours from16th April 2018 to 15th June 2018
(9 weeks & equivalent to 2 days a week)
Ability to work weekends and evenings.
MAIN TASKS & RESPONSIBILITIES:
To support the annual Pilgrimage event, in conjunction with the Pilgrimage Co-ordinator and Director of Fundraising & PR.
To maintain accurate records of registered Pilgrims and payments made
To process & monitor sponsorship income
To record all Gift Aid eligible income to facilitate claims later
To enter information on relevant Excel and Raiser’s Edge databases
To send out related information to all stakeholders
To communicate with other members of the Pilgrimage administration team as necessary
To communicate with other members of the Fundraising and Finance teams as necessary
To liaise with external parties to confirm bookings etc
To look after the resources required for the Pilgrimage weekend
To carry out secretary works for meetings with the volunteers team
To liaise with the Fundraising, Friends, Pilgrimage workers and other stakeholders as necessary
To take part of the Pilgrimage weekend to provide administrative and other related supports, and preferably to be a driver in the weekend
As requested by the Director of Fundraising, undertake other general fundraising activities.
GENERAL
- Develop and implement CSTM’s Equal Opportunities and all other policies in all areas of work.
- Ensure that agreed Health and Safety requirements are understood and complied with.
- Attend internal and external training courses as appropriate. Staff are expected to keep themselves informed on current issues relating to their work.
- Undertake any other duties that may reasonably be required.

ESSENTIAL
Experience
- Experience of working with numeric information
- Experience of working in a busy office.
- Experience of handling and recording cash
- Experience of working in a team.
Ability and Skills
- Able to use Word/Excel/Outlook and other IT packages (currently Raiser’s Edge)
- Able to write clearly and succinctly.
- Able to work methodically and keep accurate, detailed records.
- Able to communicate with a diverse group of stakeholders
- Able to communicate financial information accurately to others in a way they can understand.
- Able to act appropriately in line with CSTM’s equal opportunities policy.
- Able to work under pressure.
- Able to work as a team member in an event.
DESIRABLE
- Experience of working in the voluntary sector.
- Understanding of homelessness and a commitment to the work of CSTM.
- Having a full driver license for at least 1 year.
