Tip: To close an open report and keep the Custom Reports open, click the Back button on your browser as many times as needed to return to the Custom Applications and Reportsmenu. If you click the Close button in the upper right of the report, if closes the Admin Reports.

Course and Lesson List / Displaysa list of all courses and lessons available for assignment, and you can print and export into an Excel document.
Evaluation Reports / Lists completed evaluation reports.
Manager Zone / Lists all the Learners that have manager zone functionality.
Merge ID Tool / Combines e-learning from one ID into another ID when both ID’s belong to the same Learner. On occasion a Learner receives two Learner IDs and completes training under both. If that occurs then the training can be merged to the correct ID
Module Lesson / Focuses on listing all modules and lessons along with the owner of the module, the date and time created and if assigned.
Module Awaiting Assignment / View modules awaiting assignment. You can view for an individual Learner, by one or all departments or one or all groups.
Protected Learner Report / Lists the Learners that are protected from the HR download so you can quickly identify them and make changes as needed. For example your organization uses the HR download process and you have a number of Learners protected (e.g., contractors, Students and volunteers) from being changed to ‘inactive’ status.

Steps to Open a ‘Custom Report’
  • Click Custom – Custom Apps & Reports.

The Custom Applications and Reports menu opens.

Course and Lesson Listing

As a System Administrator, you can view a list of all courses and lessons your organization has licensed and or created .You can also export the listing to an Excel spreadsheet.

Steps to Open Course and Lesson Listing
  1. Click Custom -Custom Apps & Reports – the Custom Applications and Reportsopens.
  2. Click Course and Lesson List link.

The courses list in alphabetical order. Each course shows its lessons on the right.

Tip: You can click Course to sort in reverse alphabetical order or you can click Lesson to sort all the lessons in alphabetical order.

Note: You can export this report to Excel.

Evaluation Reports

The Evaluation reports lets you search to find survey results from your Learners when required for a course.

Steps to Open Evolution Reports
  1. Click Custom - Custom Apps & Reports – the Custom Applications and Reports opens.
  2. Click Evaluation Reports link.

  1. From the ‘Evaluation’ drop-down, select the course that you want to retrieve the Survey results from.
  2. Optional. If you want to look for a survey for a specific date or date range, use the ‘Start Query Date’, and ‘End Query Date’ selections. Use the calendar to the right to select a date if needed. If you do not want to include dates, remove the checkmark from the ‘IncludeDateRange checkbox.
  3. Click Next Step button.

Manager Zone Report

Lists all the Learners that have manager zone functionality.

Steps to Open Course and Lesson Listing
  1. Click Custom - Custom Apps & Reports – the Custom Applications and Reports opens.
  2. Click Manager Zone Report link.

Merge ID Tool

The Merge ID tool allows the System administrator to combine e-learning from one ID into another ID when both ID’s belong to the same Learner. On occasion a Learner receives two Learner IDs and completes training under both. If that occurs then the training can be merged to the correct ID.

Note: The Merge ID tool may not be available at your organization.

Tip: After the merge, the empty is made inactive.

Steps to Merge Two IDs into One ID
  1. Click Custom – Custom Apps & Reports
    The Custom Applications and Report menu opens.
  2. Click the Merge IDTool.

The Merge Learner IDs Form page opens.

  1. From ‘Search by Last Name’ enter the Learners last name (or first few letters of the last name) and click the Search button.

The last name(s) display below.

  1. Select the radio button next to the Learner’s name you would like to move the lessons from.

  1. Click the Make Inactive button.
    The Learner’s ID displays in the ‘Learner Being Merged’ text box.
  2. If you need to search for a different last name to keep, repeat steps 2-4.
  3. From the Learners listed below, select the radio button next the Learner’s name you would like to keep.
  1. Click the Keep button. (from Learner ID to be used)
  1. Click the Merge button.

The names clear at the bottom, and the text Done! Displays in the upper left of the page.

Note: You can click the ‘X’ in the upper right of the browser to close this page.

Module Lesson Report

The Module Lesson report focuses on listing all modules and lessons along with the owner of the module, the date and time created and if assigned.

The example below shows the first five modules. Modules are listed alphabetically. All modules belong to the same owner. The date and time each module was created displays. None of the modules have been assigned.

Steps to Open ‘Admin Reports’
  1. Click Custom - Custom Apps & Reports – the Custom Applications and Reports opens.
  2. Click the Module LessonReport.

Tip: You can click on any underlined column title (e.g., Lesson) to reverse the order listed on the report.

Modules Awaiting Assignment Report

As a System Administrator, you can view modules awaiting assignment. You can view for an individual Learner, by one or all departments or one or all groups.

Steps to View Modules Awaiting Assignment
  1. Click Custom - Custom Apps & Reports – the Custom Applications and Reports opens.
  2. Click Awaiting Module Assignment Report.

You have the option for one of two reports. You can see assignments waiting by either individual Learner or by departments.

  1. Select one of the two radio buttons.
    Any of the two selections take you to a search page.

The example below shows that ‘View awaiting assignments for departments’ was selected.

  1. Complete the Search information and click the applicable button (e.g., Group Module List) to continue.

Note: If there are no modules that have been assigned using the Assign Later option then the report will be blank.

Protected Learner Report

This report lists the Learners that are protected from the HR download so you can quickly identify them and make changes as needed. For example your organization uses the HR download process and you have a number of Learners protected (e.g., contractors, Students and volunteers) from being changed to ‘inactive’ status. Now several of these protected Learners have left your organization so they need to be manually changed to ‘inactive’. This report lists all the protected Learners so you can see at a glance, if you need to manually change any of the Learners to ‘inactive’.

Tip: You can also uncheck the protection box on the edit learner page and the next HR download will make the Learner inactive.

Note: When your organization uses the HR download process, it matches Learners from the HR file to the Learners already in the LMS. If a Learner is in the LMS and not in the new HR file, the LMS makes that Learner inactive. You may have Learners in the LMS that are not in the regular HR file (e.g., contractors, students and volunteers that are required to take the mandatory training but are not “employees”). These Learners are added manually by an administrator and can be marked as protected when added using the box at the bottom of the page that says “Protect learner from auto-termination during HR download processing” on both the Add and Edit Learner pages.

If the checkbox is selected, those Learners are not made inactive when the HR download file is run. This saves you from having to make each of them active again every time an HR download file runs.

The report lists the Learners name, user ID, Department, date added to the LMS, facility code and the Learners last login date. If a Learner has never logged into the LMS, the report displays the text ‘NEVER’ under Last Login date.

The example below shows the first six Learners in a Protected Learner Report.

Steps to Open the Protected Learner Report
  1. Click Reports – Admin Reports.

The Admin Reports menu opens.

  1. Click the Protected Learner Report.
  1. From the ‘Facility’ drop-down, select a facility or All Facilities.
  2. From the ‘Department’ drop-down, select to search ‘All Departments’ or one department.
  3. Optional. If you want to include a date range, click the Include date range checkbox. Now click the calendar from ‘Start Query Date’ and add a start date for the report and then click the calendar from ‘End Query Date’ and select an end date for the report.
  1. Click the Next Step button below.

The Protected Learner List Report opens. The example below shows the first six Learners in a Protected Learner Report. The last column shows the Last Login Date. Three of the Learners have ‘Never’ logged in to the LMS.

Program Lesson Listing

This report provides a list of all lessons assigned to a specific Program. The report is located under the Custom tab on the administrator’s home page.

Choose the report and then choose the Program from the drop down list.

Choose Select.
