Meeting Minutes October 18, 2015

1. Bunnings Seaford BBQ Opportunities
Simon has finally been contacted by Jess from Bunnings, and hopes to be given some BBQ dates in the near future
2. Harvey Norman BBQs – Thanks to everyone who helped out at the Harvey Norman BBQ on September 26 & 27. We raised just over $600 but have some expenses to deduct. Our next BBQ is on the weekend of November 21 & 22.
3. Hat Day – Thanks to everyone who helped out on the Hat Day stall at Seaford Central Shopping Centre. We raised $324 which Cecilie has banked directly into the Australian Rotary Health account and also had some interest in Rotary. Cecilie has been given a name of a prospective member.
4. Popcorn Machine – Members agreed that we could use some of the funds raised at the Harvey Norman BBQ to invest in a popcorn machine, which would give us an alternative fundraising option. The machine cost $245 including delivery. The machine was on display and we had a trial run at our meeting. It worked well and all agreed it was a worthwhile and innovative investment. Cost per serve is less than $0.30, sell price agreed at $3.00 for Carols, but could be up to $4.00.
5. Football Gatekeeping – A number of members assisted the Rotary Club of Hallett Cove by volunteering for gatekeeping at Southern Football League Finals Series. We have been sent a cheque for $200 from the Hallett Cove club as payment for this work. It was decided that given this money was paid for members’ work, and no community funds were raised, we could deposit this cheque into the Admin account.

Note: $80 is to be transferred from the Admin account to the Projects account for Moana Hall hire, which was paid in cash from BBQ takings
7. Christmas Carols – December 6 Thanks to Simon for participating in planning meetings with Seaford Ecumenical Mission (SEM). Our role is to provide all food and beverages for the event, with an agreed 50/50 profit split.
Options include:
· BBQ (menu to be confirmed)
· Popcorn
· Donuts (Cecilie following up with RC Noarlunga East to see if we can use their donut machine)
· Cold beverages (we can sell cans and bottled water) – RC Unley have offered to buy leftover cans for their Carols event
· Hot beverages – Mark knows a vendor, will follow up
· Ice creams – Simon checking
· Hot Chips (we have access to a commercial deep fryer
Also need to investigate cool room hire.
Next meeting of committee 6th November 10am at SEM. Jerry to join Simon.
8. Promotional Opportunities – Mark attended a meeting of the Aldinga Sellicks Alliance on October 12 to talk about Rotary. As a result we have advertised in the “Coastal News” newsletter and have provided 100 fliers to go into show bags which will be handed out at an upcoming new parent’s event. Mark designed and printed special inserts to promote our club as a child and parent friendly option.
Cecilie will be holding a Rotary information stand at the Aldinga Seniors’ forum on October 22.
9. Community Shower Project – all are keen to proceed but lots of planning is involved. First step to undertake a needs analysis. Denise was looking to get a report from Helen Bates at SEM to get the ball rolling.
10. Come and try Calperum – Mark advised the group of an opportunity to visit Calperum Station on the weekend of November 6-8.
