Please note that your stall fee is a donation to the Charity to cover costs of running the event. You must supply your own insurance cover, risk assessment and should you need electricity/ generator.

OUTSIDE AGENCIES/ EXHIBITORS BOOKING FORM

TERMS AND CONDITIONS

All organisations wishing to exhibit/ provide a service at the HAPPA Grand Open Day must duly complete and submit the application form with appropriate fee, risk assessment, details of public liability insurance and where applicable food hygiene certification and compliance with Food Hygiene Regulations.

Any exhibitor who does not comply with regulation, sub-lets their exhibitor space or contravenes the Event’s policy will be requested to remove their stand.

Goods and services of any description must be displayed and sold subject to the approval of HAPPA. Selling of any lottery, auction or raffle will not be permitted without written permission of the organisers. We request that NO ALCOHOL be brought onto the premises for personal use, be sold or be given as prizes.

Sales and demonstrations will be allowed provided that they are conducted in orderly manner and do not cause nuisance to other exhibitors. No loudspeakers, amplifiers or megaphones are permitted. No noisy or fume making machinery is allowed, nor is fire related materials or fireworks.

Sale of canned drinks, beverages, light snacks are not allowed unless previous permission has been received so as not to contravene HAPPA’s catering concessions. The Organising Committee will endeavour not to accept application if a similar type of product being sold is already booked in.

We remind exhibitors that there will be livestock on site as part of HAPPA’s displays in the Main Arena and request that each exhibitor be respectful of such. Special permission must be sought from HAPPA for any exhibitor who wishes to include livestock on their stand. All animals are requested to be under supervision at all times and confined within the exhibitors stand, dogs must be on leads at all times.

Riders are requested to wear British Safety Standard approved hats at all times whilst riding or moving their equine. They must observe the areas reserved for equines and use only marked pathways for movements. We request that riders ensure that they are adequately insured for partaking in the Event.

HAPPA will provide litter bins around the event ground for general waste. Any waste produced by exhibitors must be either placed in the general waste or removed from site at a cost to the exhibitor after the event.

Allocation of site and positioning of stand is entirely at HAPPA’s discretion, although every endeavour will be made to meet any request made by an exhibitor regarding their position of stand.

Charitable appeals – collection purpose must be made clear from REGISTERED CHARITIES ONLY. Collections must not be made from outside the confines of the stand.

HAPPA accept no responsibility for the security of stands, equipment, cash or property of exhibitors and strongly advise to arrange for their own insurance cover.

All electrical equipment and generators must have up to date test certificates and be safe for use.

All exhibitors are advised to ensure that their stands are soundly erected and safe at all times, complying with all Health and Safety regulations . Trade stands must be equipped with an approved fire extinguisher. Smoking is not permitted in livestock areas or within any enclosed space.

A first aid point will be in operation at Reception.

Exhibitors may commence setting up from 8am Saturday 9th September 2017. We request that all movements must be finished by 11am that day. Dismantling shall not take place until 4pm and must be completed by 6pm on the 9thSeptember.

HAPPA will endeavour to ensure that the Event goes ahead and will not be liable for any compensation claim with regards to a cancellation.

Applications are accepted upon receipt of current valid insurance certificate and risk assessment. Food hygiene certificates where applicable.
