Division Reports

Note: The Reports Made Easy Committee members have worked diligently to make these reports “easier” to complete and “easier” to send through the internet. Our job has not been “easy!” Much work needs to be done as it is all a “work in progress.” Constructive comments are welcome.

Instruction Sheet for Chapter Presidents and District Chairmen Using the Word format

  1. These Reports are designed to “fill in” answers only. To go from one “fill in” place to another, use the “tab” button i.e., the “tab key” is used to “tab” between questions. Also, “tab” to skip a question if you do not wish to answer.
  1. After you open up the document, click on the “Enable Editing” at the top of the page. This is usually highlighted in yellow.
  1. Committee reports are to be mailed to the Division Committee Chairman and your District Chairman. (The Division Committee Chairman will compile the reports and send her report to the Division President, the Division Recording Secretary and the respective General Committee Chairman.)
  2. Names and addresses of Committee Chairs are included on each form and below.

For Printing and Mailing:

1.  Each form can be printed off and completed by hand and then mailed by the United States Post Office (USPS) or each form can be completed on the computer, then printed and mailed.

For Electronic Filing:

1.  Since the reports are separate documents, automatically putting your name and chapter on each report isn’t possible yet. So, to put your name and chapter on each report, you can enter it in the gray box below. Then “highlight” your name and chapter, right click, select “copy” When you open up a report, then place the mouse cursor in the appropriate box, right click, select “paste.” IF this does not work for you, then type in the information on each report.

2.  To SAVE Report forms: (this may be different if using other than Word 97-2003 or 2010.)

  1. Click “File”
  2. Click on “Documents”
  3. Click on “New Folder” at top of Menu Bar
  4. When the “New Folder” block appears, Name the “New Folder” Committee Reports. This is where you will save all your required reports so that you will have a copy and from where you can attach a copy to the appropriate Committee Chairman and District Chairman.
  5. Open up a report, fill in the report using the “tab” key.
  6. After completing each report, click “File”, then click “Save As”, double click on “Committee Reports” click on “Save.” This should save your report.

3.  To EMAIL reports to appropriate/required members:

  1. ALWAYs SAVE your report (see above) before you email the report.
  2. Committee reports are to be emailed to the Division Committee Chairman and your District Chairman. (The Division Committee Chairman will compile the reports and send her report to the Division President, the Division Recording Secretary and the respective General Committee Chairman.)
  3. To Compose an Email:

Select, copy and paste each email address that you need on the “TO” line in the email message form. Then attach the correct Committee Report from your list. (On some computers, you can simple “CRTL+Click” to email the report – that DOES NOT work on all computers).
