Terms, Conditions and Useful Information for 2018

Please read and keep this information for future reference. By applying for a stall, you deem to have read and accept our Terms & Conditions.

Booking

  1. Complete stall application form
  2. If space available confirmed by Carano Events forward copy of Public Liability Insurance and deposit
  3. Stall booked
  4. Balance of payment due at least one month prior to the event.

Any application for a stall is considered provisional until it has been confirmed byCaranoEvents

Only when your application has been confirmed and we have received within 14 days of the confirmation, your Public Liability Insurance information and the non-returnable/non-transferable deposit, will your stall be booked.

Deposit

Once your application for a stall has been confirmed a non-refundable and non-transferable deposit of £10 for each date booked is due within 14 days to secure your stall.Only when the deposit is paid, will we book your stall.

Receipt of payment will be deemed to be your acceptance of these terms and conditions

Cost of Stalls

Stalls consist of a table plus 2 chairs.

Please note that a table plusa rail is classed as a double stall

Sandwich

A 4’ stall is £25

A 6’ stall is £30

A 12’ stall is £55

Hythe Imperial

A 6’ stall is £25. There is no room at Hythe for any additional tables/rails etc.

The Grand, Folkestone

A 6’ stall is £25

A 10’ stall is £40

A 12’ stall is £45

Public Liability Insurance

CaranoEvents and the venues have their own Public Liability Insurance for each event, however, you should also have your own Public Liability Insurance as you will be held liable for any accident, injury or

breakage, that occurs as a result of your stall or products.

When your application has been confirmed, please email with details of your insurance provider and value of liability covered.

Please note that Public Liability Insurance is obligatory.

Payment

Full payment is due not later than one calendar month before the event. Failure to comply may result in your stall being re-sold.

If you are booking within 1 month of the event then full payment is due at the time of booking.

Payment can be made by Bank Transfer, Cheque or PayPal.

PayPal: Please add £1.10 extra for each stall (administrative charge) and email us to advise that a Paypal payment has been made.

Set Up and Clear Down

You will be notified before each event the times for arrival and information on unloading your goods.

No packing up will be allowed before the official close of the fair unless otherwise advised. It is unfair to the visitors and other stallholders. Any stallholder who leaves before the advertised finish time may forfeit the right to apply for any future events.

Electricity and Electrical Equipment

There are numerous electrical points throughout the venues, and we will, where possible, accommodate your request for an electrical point. However, we cannot guarantee that you will be positioned within easy access to a power point. Extension leads are not provided. You may only use an extension lead, providing you provide a risk assessment and the lead is covered in order to prevent accidents.

All electrical equipment used must be PAT tested. Proof of PAT testing must be made available on request.

Removal of Rubbish

All stall holders are responsible for the removal of any rubbish, boxes or personal belongings at the end of the fair.

Carano Events will not be held responsible for any damage or loss of stock or equipment.

Allocation of spaces

Spaces will be allocated upon arrival, if you have any specific requirement, please let CaranoEvents know on booking and we will do our best to accommodate your requirements, however, we cannot guarantee that this will be possible

Cancellation

If in the very unlikely event that CaranoEvents cancels any of the fairs, a full refund will be given.

If you decide to cancel you must inform us at least 28 days before the event otherwise you will still be liable for any balance. No refund will be given or transferred to a future booking where a stallholder cancels within 14 days of the event date unless in exceptional circumstances.

CaranoEvents reserve the right not to accept bookings for any reason and to reallocate space not paid in full by the due date.

Venues

We are delighted to be able to offer prestigious arts and crafts fairs at our venues.

New for 2018 is the Discovery Event Centre in Sandwich.

This is an extremely large venue that is not in the usual rectangle or square shape but more like a ‘S’ shape therefore your stall may be in the centre of the room with the visitors being able to walk right round it.

One wall is all glass that looks out on the courtyard, making the venue very light and airy.

There are extensive parking facilities.

At the Hythe Imperial Hotel the fairs are situated in the ballroom and sun terrace with space for 30 stalls.

There is free parking in the hotel car park and along the sea front wall. Please note there are some steps up to the ballroom when you are unloading/loading.

There is a lift in the hotel reception area that can be used if required.

At the Grand in Folkestone, the fairs are held in three inter-joining rooms that can hold at least 70 tables.

For the 27 August event that co-incides with the OldTimers Rally, there is no vehicle access to the seafront and the venue insists that all stallholders have unloaded by 8.30 and then found a parking space.

It is however, possible to unload and/or set up on the preceding Sunday afternoon.

Products

To give a variety of choice to the visitors, the number of stall holders offering similar goods will be strictly limited by CaranoEvents .

Food Hygiene Certificate

A food hygiene certificate is required for any food related products.

Please Note

Nothing must be attached to the venue’s property, i.e. on walls or pillars etc.

Advertising and Promotion

CaranoEvents will advertise and promote the fairs extensively. We would be delighted with any assistance you can give with leaflet and/or poster distribution. Please contact us if you are able to help.

We would also like you to help with promoting the events on social media to let as many prospective visitors know about the events you are attending as possible.
