The Causeway School is an 11-16 comprehensive school of approximately 800 students. The school is just 16 years old, built in 1998 and is co-located with Hazel Court Secondary Special School.

The Post

We require a positive and enthusiastic Receptionist / Reprographics Technician to work as part of our reception team providing a first class reprographics and reception service. The successful applicant should be able to prepare resources for reproduction, binding and laminating; assist staff with queries and photocopying.

In addition the post holder will be part of a team who provide an efficient reception service for the school, dealing with students and all callers, both on the telephone and in person, promptly and courteously. Together with our other receptionists run the medical room, provide first aid and triage. It will be necessary to hold an existing first aid qualification or be prepared to undertake first aid training.

RESPONSIBLE TO / Senior Leadership Team
MAIN PURPOSE OF THE JOB / To provide an efficient reception service for the school, dealing with all callers, both on the telephone and in person, promptly and courteously. To provide a reprographics service for the school. To run the medical room, provide first aid and triage. To provide a booking service for the gallery. To assist the Development Mentors in relation to school trips.

Main Functions

  1. To answer all incoming calls, both internal and external, redirecting/taking messages as necessary, and acting on instructions received. To relay messages to staff and pupils.
  1. To receive all visitors and ensure they sign in and out in accordance with the school’s procedures
  1. To deal with general day to day queries from staff, pupils and parents
  1. To run the medical room; keeping appropriate records; provide first port of call medical triage; be an up to date qualified first aider (it is a condition of this post that first aid qualifications are not allowed to lapse)
  1. To accept mobile phones and other pupils’ belongings for safekeeping
  1. To word-process school documentation as requested
  1. To assist with the preparation, distribution and collation of checklists for school meals numbers, and liaise with school catering staff on a daily basis. To liaise with parents about outstanding lunch money.
  1. To issue Free School Meal passes and keep an up to date record
  1. To record and post all outgoing mail, purchasing new stocks of stamps when required. To receive and distribute all incoming mail.
  1. To be responsible with the other postholders for the reprographics work for the school
  1. To prepare work for reproduction, i.e. word processing, DTP, pasting up, designing, colour work including merits, certificates, letters to students, newsletters, school calendar, exam papers and timetables, work sheets and other similar items
  1. To word process / DTP and produce school reports and copy and prepare them for issue to students
  1. To word process and produce posters, programmes and tickets for special events
  1. To keep the photocopying and print machines in good working order
  1. To undertake reprographics work in the most cost effective way
  1. To order supplies as appropriate and keep reprographics departmental accounts
  1. To be responsible for working out accounts for departments on a regular basis for the whole school
  1. To providing a binding and laminating service
  1. To assist staff with queries and photocopying and provide on the job training for members of staff in the correct use of photocopiers
  1. To assist the Finance Manager with school uniform sales where appropriate
  1. To be responsible for taking bookings for the gallery provision
  1. To assist the Development Mentors / Finance Manager with the collection and receipt of monies relating to school trips / uniform
  1. To be a Co-tutor (all our staff are members of a house and are either a tutor or co-tutor)
  1. To carry out the above duties in accordance with the Education Department’s Equal Opportunities Policy.

This job description sets out the duties of the post at the time it was drawn up. The post holder may be required from time to time to undertake other duties within the school as may be reasonable expected, without changing the general character of the duties or level of responsibility entailed.
