Template for Big Local areas collecting personal data for Big Local

If you are collecting people’s personal data as part of Big Local please read our short and simple guidance to make sure that you are complying with the Data Protection Act (1998).

Key points to remember

  • Tell people exactly what data you are collecting. (This might be first and last name, email address, Big Local area).
  • Do not collect more data than you need. (In practice this means if you are building up an email mailing list, you do not need to collect home addresses or phone numbers too).
  • Explain why you would like to collect their data. (For example, say - we’d like to keep you up to date with Big Local activities in the area; we’d like to invite you to our meetings and events; we’d like to send you opportunities for getting involved or we’d like to email you a survey).
  • Consent is optional, it is their choice whether they would like to share their information or not and they can make a decision at any time to no longer be contacted.
  • Big Local is a national programme run by Local Trust. Local Trust would like to use their name and email address to send them information on learning and networking events and learning from other Big Local areas as part of their delivery of the programme. Local Trust’s fair collection statement is available on the Local Trust website. If you are collecting personal data to share with Local Trust, please explain why and ask for consent.
  • Keep personal data safe and secure. How to do this:
  • don’t save people’s information on a shared or public computer
  • when you email groups of people (who haven’t agreed to share their email addresses with each other) ‘blind carbon copy’ (Bcc) the email addresses so that people’s email addresses aren’t visible to everyone http://www.wikihow.com/Use-BCC-in-an-Email
  • log out of your email account when you’re not using it
  • keep paper copies of personal data together in a safe place, away from other people’s view.
