Telephone User Guide

To Place a call within the School: Lift the receiver; dial the 4-digit extension you wish to reach. Begin speaking after the tone; your voice will transmit through the speaker of the extension you are calling.

To place a call to another school / building in the district: Press the button on your telephone labeled Outgoing, wait for dial tone, and dial the last 4 digits of the school telephone number. If you have a button labeled with the school name, simply press that button. When connected to the school’s automated attendant, you may make a menu selection or dial the extension number of the person you wish to reach.

To place a call outside of the district: Press one of the Outgoing buttons, dial 5, then dial the number you wish to call.

To transfer a call: While speaking on the outside call, press TRANS and dial the 4-digit extension number or just press the DSS button (if you have one) for the person you wish to transfer to. You may either, stay on the line and announce the call or simply hang up. (If the call goes unanswered it will forward to voicemail after 5 rings.)

To transfer a call directly to a voice mailbox: While speaking on the outside call, press the Voicemail button and dial the 4-digit number of the voice mailbox you wish to transfer to and hang up. (The caller will get the personal greeting of that mailbox and be able to leave a message.)

To access your voice mailbox from your telephone: Press the Voicemail button. When prompted, enter your password (the last four digits of your social security number).

To access your voice mailbox from a telephone other than your own: Press the Voicemail button. When prompted to enter your password, press #. The system will then prompt you for your mailbox number. Enter your mailbox / extension number. The system will then prompt you for your password (the last four digits of your social security number).

To access your voice mailbox remotely (from home): Dial the school’s main number. When the system answers, press #. The system will then prompt you for your mailbox number. Enter your mailbox / extension number. The system will then prompt you for your password (the last four digits of your social security number).

Recording your voicemail name recording:

  1. Access your voice mailbox using one of the methods described above.
  2. From your mailbox main menu select 8 for Other Functions.
  3. Then select 1 for your Name and Greeting Recordings.
  4. Then select 1 for your Name Recording.
  5. Then press 1 to begin recording your name recording. (state your first and last name, then press the star (*) key).

Recording your voicemail standard greeting:

  1. Access your voice mailbox using one of the methods described above.
  2. From your mailbox main menu select 8 for Other Functions.
  3. Then select 1 for your Name and Greeting Recordings.
  4. Then select 2 for your Standard Greeting.
  5. Then press 1 to begin recording your standard greeting. (record your greeting, then press the star (*) key).

To change your password.

  • Access your voice mailbox using one of the methods described above.
  • From your mailbox main menu select 8 for Other Functions.
  • Press #5 for personal mailbox options
  • Press #1 to change your password
  • Enter new password follow by a star

Sample standard greeting: “Hi, this is Mrs. Smith. I’m unavailable right now. Please leave a message and I will return your call as soon as possible. Thank-you.”

Sample standard greeting as homework hotline: “Hi, this is Mrs. Smith, 3rd grade Health teacher and today is Friday, February 26th. I’m unavailable right now. If you wish to leave a message please press the star (*) key now, and do so at the tone. Otherwise, tonight’s homework assignment is …”
