We are encouraging all producers of food, drinks, clothing, art and jewelryto be a part of the TWO-DAY Christmas Market on Saturday 2nd and Sunday 3rdDecember 2017.

A delight for visitor’s eyes, taste buds and wallets! We will provide you with a perfect platform to showcase your brand and products (new or established) to the public, the trade and visitors from around the country.

Information about the festival:

•Held 2nd and 3rd December2017

•The festival will be outdoors, and we are providing the 3 x 3m Christmas marquees and 2 x 6ft trestle tables per booking

•Opening hours are:Sat: 10 – 6pm, Sun: 10 – 4pm

•All attendees MUST show proof and provide a Public Liability Insurance before we can accept your application.

Inclusive of the price of the space, you will also receive the following business opportunities:

•Short overview of your business on the Poole BID Christmas Website and a link to your business website and social media (we will send you the Christmas information for inclusion on your website and Social Media, you can also link directly to our website so your customers can get updated information as it goes live)

•PR - press coverage, photo-gallery and exhibitor list as long as you book by November 2017.

2.)Required Documentation

At any time during the event, your stall could be inspected by an Officer from the Council’s Environmental Health Department and the Festival’s Health and Safety Office. As a result, please ensure you have the following documents:

  • Documented Food Safety Management System i.e. HACCP
  • Food Business Registration
  • Temperature Control Monitoring Record Sheets (for refrigerated storage)
  • Gas and Electrical Safety Certificates

NOTE

If you are handling and / or serving food you will need to provide a hand washing facility.

How to Pay

Payment must be made by bank transfer: as stated on your invoice

Please ensure that you have completed the form to the best of your ability, if you are unsure about anything please ask.

Terms and conditions

Services provided - Exhibitors are responsible for the security/safe storage of their own equipment and products and for their own rubbish removal each day. There will be lighting provided inside the marquees.

Emergency Services - Each exhibitor will be provided with information about first aid points, stewards and routes and procedures agreed with the emergency services.

Vehicle Access:

NO vehicle movement between event operating hours and all stall holders must be present during operating hours. The main road along Poole Quay will be closed for the duration of the Christmas Market so vehicle movement will be controlled.

Electrical appliances: You must have all your electrical appliances PAT tested and comply with the current electrical standards.

Stalls: We ask that your exhibiting stall / space looks visually appealing at all times with appropriate branding and storage of all stock should be out of sight of the customers or neatly concealed. Each brand to have its own style of dressing, using for example: baskets; crates; wooden boards; slate tiles; signage etc.

Cancellation policy:

50% refundable up to 28 days before the event. Non-refundable after this.

Please Note: Poole BID do not accept responsibility for any loss or damage to exhibitor’s goods - exhibitors are responsible for their own goods. For any of the event that is held outdoors, we do not accept responsibility for financial loss to any exhibitor as a result of weather, events outside of our control or cancellation of the event for reasons outside our control.

If you have a risk assessment used at another festival or event then please just update it and sent to us, if you do not currently have a risk assessment there is a form below for your use, further information on risk assessments and examples can be found on the Health and Safety web page

We have started off the risk assessment for you by including a sample entry for a common hazard to illustrate what is expected.

Look at how this might apply to your business, continue by identifying the hazards that are the real priorities in your case and complete the table to suit.
