BOARD MEETING

MARCH 5, 2013

LEON COUNTY PROCUREMENT

Members present: Don Tobin, Board Member/Assistant Treasurer, Nancy Jewett, Treasurer, Jessie Moseley, President, Donna Smith, President-Elect, Scholarship & Reverse Trade Show Chair, Gloria Dixon, Board Member & Nominating Chair, Jason Ouzts, Board Member & Membership Chair, Lori Newman, Professional Development & Education Chair.

Meeting called to order at 4:01 PM by President Jessie Moseley

Minutes from February 2013 presented for approval, motion made & approved as amended, by Nancy Jewett, seconded by Donna Smith.

Presidents Report: We will come back to Jessie at the end.

Treasurers Report: - Nancy Jewett: Submitting the current budget for review.

Secretary’s Report: - Sandy Rogers: Stated need for a recorder as we are using a recorder borrowed from DC’s Legal Department. Discussion ensued and in the end, vote was taken, motion made and seconded to buy the Sony Voice Recorder from B&H Photo Audio-Video for $46.99, which includes shipping & no tax.

Reverse Trade Show: – Donna Smith: MFMP sent out about 35,000 e-mails and David Bennett assisted. Donna says she has been answering phone calls and e-mails regarding the RTS. Not many agencies have signed up, so we need to get the word out to our agencies. We have a Gold Sponsor in Konica Minolta, payment pending. Our Silver Sponsor is Office Depot and we have received their payment.

Donna stated she had a request to accept credit cards, and discussion ensued regarding the use of credit cards, especially for at the door participants, and that we will charge more and there will be no lunch for the at-the-door-payers. Don said he will bring the credit card machine. Next year we will have a significant difference between advance registration and at the door. Donna particularly wants to obtain as many on-line registrations from vendors because we will be more assured that they will come. If they believe they can pay at the door for the same price, they could decide they don’t feel like coming, and the Trade Show will not be as successful as we would like.

Scholarship Committee: No Report

By-Laws Committee: - Nancy Jewett: At the March meeting we will vote on the change to the By-Laws. No comments were made or questions asked regarding the change, so the membership will vote in the March 12th Chapter meeting.

Professional Development/Education: - Lori Newman: Everything is set up for the March training. Lori & Jason will be getting donuts, bagels, and juice for participants, and Sonny’s will be catering lunch. Our speaker is taken care of and registration will be open until 3 PM Friday, March 8th, to register for training. Lori will follow-up with Nancy on Monday for a final count of attendees.

From the survey Lori did at February’s chapter meeting, the top three classes that came out of the results were #1 Negotiation (On-line Only) for CPPB/CPPO; #2 Fundamentals of Leadership & Management (2-day training); & #3 Contract Administration (3 days) for CPPB. David Bennett does Negotiation training. There are members interested in Recertification for their FCN, FCCN, CPM, & the Advanced Purchasing course is required for these recertifications. Lori will check with NIGP National regarding these classes and when we can get them; either as webinars or face-to-face trainings. Lori is still working on our August through December educational opportunities and will get in touch with Don Buffman when Donna forwards an e-mail to Lori she received from Mr. ??Buffman??. Donna talked about having Russ Rothman teach a Negotiation Class, but is not sure this can be done.

Discussed turned to pursuing having a Fall Seminar, as we used to do years ago.

Communication Committee: – Diana Trahan: Diana is absent today, but expressed through Jessie that the Chapter Manager training she went to in Ft. Lauderdale was wonderful, absolutely phenomenal, and really, really, great and she will give us some hands-on training for changes that will be occurring to the front & back ends of the program.

Membership Committee: – Jason Ouzts: Jessie will send him the template for the Welcoming Letter to be sent to new members. He is getting many calls for password changes and membership questions. Dept. of Emergency Management members paid in November 2012, but thought they were paying for 2013, and Jason wants to allow them to be able to be active for 2013 instead of paying again.

Volunteer Committee: - Ed Valla - Absent

National Forum: August 24th through 28th, 2013. It was decided by the Board to send Jessie Moseley, Keith Milton, and Keith Roberts.

General discussion ensued regarding the Question of the Day; Nancy will get David Nash's e-mail list and handle the Question of the Day, to be published in the Newsletter, with Answers at the end of the Newsletter. Donna Smith will check again with her friend regarding the Governor's Proclamation of March as Purchasing Month, and get another e-mail blast sent out regarding Registration for the March 12th Training. As of our meeting date, 42 people registered for lunch and 43 for classes.

Once you get permission to attend Forum, go ahead and register, give Nancy your form for the credit card.
