AIM:

The “TÜBİTAK Efficiency Challenge Electric Vehicle Communication Award” aims to create awareness in society regarding the daily usage of alternative and clean energy sources and to encourage activities carried out by university students to stimulate interest in the competition.

In order to achieve this aim, the presentations and publicity activities carried out by teams who have applied to participate in the TÜBİTAK Efficiency Challenge Electric Vehicle event shall be evaluated and awards for the Electromobile and Hydromobile categories shall be given separately.

SCOPE:

The activities regarding the competition (e.g., presentations, seminars, workshops, public information meetings, educational activities, projects participated in or arranged, digital and social media communications, all kinds of communications related to printed and visual press, presentations, and publicity studies) carried out by the teams within the past year prior to the date of the competition shall be included within the scope of the “Communication Award”.

APPLICATION:

The following is mandatory for the teams who want to apply for the Communication Award:

·  The teams need to submit an application as a university team to be included in the 2018 Challenge and must complete the activity report mentioned below related to the studies carried out within the past year before the date of the competition. They must submit said report or the file share link of said report by email to no later than 27 August 2018 at the end of the business day, i.e. 5:30 PM (+03:00 UTC).

·  Visual and audio materials such as videos, photographs, and news stories should not be included within the text of the report, but should be submitted as attachments to the report. Video files should be in MP4 format and optimised (at most 10 MB) in terms of size, PowerPoint presentations should be in “pps” or “ppsx” format, and photos need to be optimised and sent in “jpg”, “png”, or “gif” format. Files that cannot be sent by email due to their size can be sent via an upload link. The total size of the activity report including attachments should not exceed 100 MB.

EVALUATION:

The studies carried out nationally and internationally by the teams, and the efficiency of these studies will be taken into account during this evaluation. The criteria to be used are as follows:

1.  Activity planning (aims, communication aims, target group, social stakeholders, basic messages, timing, channels, methods),

2.  Usage of sources (budget saved for communication studies if any, planning of cash and in-kind)

3.  Application (detailed description of the process, complications if any, and changes)

4.  Creativity (originality, memorability)

5.  Assessment and evaluation (studies and results related to the measurement of the changes that have occurred in the target population)

The support will be given to all teams that show sufficient amount of activities in their reports in the required format.

Important:

·  Supportive documents (videos, photographs etc.) for all activities mentioned in the report Visual and audio materials such as videos, photographs, and news stories should not be included within the text of the report, but should be submitted with file share link without expiration date.

·  Deadline for applications is 27 August 2018.

·  Providing publicly accessible links for the news report is sufficient.

·  A scanned version of the news report that cannot be accessed on the web can be attached to the report.

·  The writing areas can be extended if needed.

8.  Activity Planning:

8.1. Aim: The main aim of the activities, communication targets, studies being carried out, and messages planned to be given must be explained by summarising the communication channels that have been used and the studies carried out within the scope of the presentation and publicity campaign (300 words at most).

8.2. Stakeholders and Cooperation Process:

The stakeholders (persons and organisations) that the team has been working with, has gained support from, or has been cooperating with within the scope of the presentation and publicity activities must be mentioned and the details of the cooperation process must be explained (300 words at most).

8.3. Usage of Resources:

The amount of budget devoted to communication studies, time, usage, the details of the cash and in-kind resources that have been utilised if any, and the usage place, time, and type must be explained (300 words at most).

9.  Application:

9.1. Printed and Visual Press Studies: The communication studies relating to printed and visual media must be explained and the measurable print outs of said studies must be presented (news items regarding the team, vehicles, and races; number of news articles; etc.). Photographs, visual material, and videos supporting said explanations must be additionally attached to the report and references should be given inside the written text (Example: News relating to the newly designed motor driver is given in Annex 1.) (500 words at most).

9.2. Digital and Social Media Studies: All kinds of advertising activities must be explained regarding the team and the races by using internet media such as the web, extranet, intranet, blogs, and social networking sites, and the feedback relating to these activities, information regarding the target population reached, and other quantifiable print outs (number of visitors, number of people that have watched the video, number of people that have sent emails, etc.) must be presented (500 words at most).

9.3. Advertisement Activities: The activities (aim of the activities, time, place, and process steps must be mentioned) such as presentations, seminars, workshop studies, fairs, and meetings that were arranged by the team or to which the team has been invited related to the races must be explained and the feedback (results of questionnaires, etc.) obtained following the activities, information such as the target population reached, and other quantifiable results must be given (Example: Presentation was given to 500 students in four secondary schools, 1000 brochures were distributed, the visitor number to the website, etc.) (500 words at most).

10.  Publicity Activities:

10.1. Production/Marketing Activities Relating to the Product/Vehicle: The marketing, sales, and patent application activities, if any, carried out regarding the product or parts of vehicles within the scope of the races must be explained.
