Purpose
The purpose of this system is to providegeneral information on creating a BAB Monthly Client Newsletter.This newsletter will be used to update clients on new and existing BAB services, offer gifts to client and as marketing material for Leads and Prospects.
Roles
ManagementSteve Kantor - Steve will provide content for monthly newsletter and advise of major layout changes.
Team LeaderPublishing Team Leader
Jennifer Young – current as of Oct 2008- monitors development and deadlines and advises of layout changes.
Design IshidoIshido incorporates content and makes changes to layout as instructed. Ishido collects and maintains a running document of used content.
Client Newsletter – Use
Existing Clients
The Monthly Client Newsletter will be used to keep current clients informed about BAB Services.
Goals
- Inform Clients of New and Existing BAB services, promoting upgrades in service level and providing general ideas to help agents grow their business with BABs help.
- Widen breadth of service and create value. A Monthly Printed Client Newsletter will give Existing Clients and added sense of value of BAB Services.
- Increase communication. Through offerings of free gifts and “P.S. Bonuses,” the Monthly Client Newsletter will promote more open lines of communication between Clients, their KA and Steve.
Leads/Prospects
The Monthly Client Newsletter will also be used to market to New Leads and prospects.
Goals
- Attract New Clients and encourage qualified leads to schedule a phone call with Steve by showcasing a quality product created by BAB.
- Promote a service. Shows BAB is capable of creating Newsletters in General and urges prospects to consider BAB for Newsletter creation and distribution services.
- Use knowledge filled content to position BAB as an industry expert. Demonstrate knowledge by offering ‘free tips’ and advise to attract new clients.
Client Newsletter – Content
Steve will provide content in 4 weekly electronic/email client newsletters. Each weekly article will be narrowed and placed into design for a printable monthly version.
The Publishing Team Leader will forward content and any special instructions to the Design Ishido weekly along with any special instructions for the monthly printable version.
The Design Ishido is responsible for saving content material throughout the month to have on hand for the final monthly building and design.
Client Newsletter – Formatting
A basic template has been outlined below. Formatting layout and design elements are flexible but should remain professional using only photo graphics rather than animated or clip-art style graphics.
Original files are created in Microsoft Publisher, copied into Word and saved as both a Word doc. and PDF when submitted to the Publishing Team Leader for review.
Client Newsletter – Printing
Printing is currently handled through ExpressCopy. A basic system for using the site is outlined below.
After the final draft is approved by the Publishing Team Leader and Steve, the Design Ishido should upload the newsletter to ExpressCopy and notify Steve so he can access review and process the order.

Login
Username:
Password: postcardbab777
Select “Upload Your File!” at
the top left of the page.
Choose “Letter Size” and upload
the pdf version of the document.
Select Image Side for each page
of the pdf uploaded and
“Save and Continue.”
Exit the application after Saving.
Steve will select print
options and complete
the order from there.
