Administrative Support Clerk II
Summary: Provides support to administration staff by performing the following duties
Essential Duties and Responsibilities: includes the following. Other duties may be assigned.
· Operates switchboard and telephone to receive, transfer, and transmit calls. Relays emergency messages as appropriate. Supplies information to callers and records messages as appropriate. Operates intercom and paging system to relay in-house announcements.
· Maintains agency visitor logs, distributes visitor badges, and receives and directs inquiries from agency visitors and staff. Serves as gatekeeper for Administrative staff.
· Prepares and processes certified and bulk mailings and other agency or office communications as assigned by the Executive Administrator.
· Coordinates agency's meeting room and gym calendars.
· Submits maintenance and coffee cart requests for multiple agency functions.
· Compiles data for miscellaneous section of monthly Board Packet.
· Submits Newspaper Notices for monthly Board meetings.
· Prepares and maintains agency inter-office telephone directory and personnel lists.
· Serves as secretary for agency committees as requested by Executive Administrator.
· Participates in quarterly Administrative Support Team Meetings.
· Copies and assembles materials for meetings as requested by Executive Administrator.
· Operates copy machine and is responsible for supplies and maintenance of copier.
· Performs clerical duties such as typing, faxing, copying, filing, proofreading, and sorting/distributing/date- stamping mail for departments, as requested by Executive Administrator.
· Handles confidential material as assigned by the Executive Administrator or other Management staff.
· Trains Office Aides working on the switchboard and coordinates and monitors their duties on a daily basis.
· Tracks inventory and orders supplies for Administration office.
· Maintains gym rental contracts, scheduling and processes payment for rentals.
· Works on Special Projects as assigned by Executive Administrator.
Qualifications: High school diploma or general education degree (GED); related experience and/or training preferred.
Applicant must meet the requirements below…
· To perform this job successfully, an individual should have knowledge of Database software; Spreadsheet
software and Word Processing software. Must meet agency computer competency level requirements.
· Valid State of Ohio driver's license preferred.
· Must successfully complete a BCII background check.
· Must meet all other agency employment requirements. Must meet all requirements as outlined on the corresponding job description.
Salary: $20,800 minimal annual; negotiable based on education/experience
Hours: Full-Time 40 hours per week; Mon-Fri. 8am-4pm
