eiNetwork Users Group Steering Committee Meeting

February 26, 2004

Members present: Sharon Dawe, Elaine Downing, Holly Ferkett, Kathy Firestone, Holly McCullough, Marianne Sforza, Sharon Helfrich, Tina LaMark, Marilyn Jenkins, Anne Candreva, and Rebecca Serey

Visitors: Andrea Clarkson, Mary Coyle, Joan Morris, Mary McIntyre, Amy Kronstein, Sharon Verminski, and Ernie Williams.

Election of Officers

·  The Committee elected to retain Sharon Dawe of Northern Tier Regional Library as Chair, and Karen Rossi of CLP – Main as Vice Chair contingent upon Karen Rossi’s acceptance.

Committee Reports

Technical Services Committee

·  The committee is almost complete with de-duping the Sewickley data.

·  The committee is concerned about the cataloging activity in Mil Cat and will discuss the content of catalog training at the next Technical Services Committee meeting March 17th at Penn Hills.

·  Ann Andrews, Denise Hulbert and Gwen Brunasky have rotated off the Technical Services Committee. The Steering Committee has accepted Doreen Hurley – Mt. Lebanon, Kathy Amrhein – Lauri Ann West, Ann Litz – Allegheny Valley, and Denise Puckett – CLP as new members of the Technical Services Committee.

CIPA

·  The CIPA Committee presented a time line and will recommend filtering software at the March 25th Meeting.

·  The Draft Policy/Procedures will be presented at the LAC meeting on March 11th. The library director’s can recommend to their board the changes necessary for their Internet policy to be CIPA compliant.

·  An eiNetwork Computer Usage Policy will be presented to the eiNetwork Board of Directors for approval at their next meeting.

·  ACLA will be responsible for any press releases regarding the new CIPA requirements.

Linked Library Update

·  The Reserve Pool will no longer purchase books for Linked Libraries.

·  The eiNetwork is investigating the implications of eliminating the Linked Libraries as pick up locations.

·  Fees for non-ILS services would not be started until January 2005.

·  Carnegie Library of Pittsburgh, Allegheny County Library Association and the eiNetwork are drafting a joint letter to the linked libraries in regards to all these actions.

ILS Updates

·  Completed

·  The Committee approved eliminating the all $.05 fines and then changing the current $.05 fine rule to a $.15 fine rule.

·  The notice cycle for fines $.50 or $1.00 were changed to send out the 1st late notice at 7days, the second late notice at 14 days, and a bill to be printed on the 42nd day.

·  Keyword Search will be changed with the Steering Committee input.

·  The eiNetwork staff will complete performance testing to get a base line before the Oracle upgrade is completed.

·  April 11th is the tentative date for the data conversion for the Oracle upgrade.

·  Holds are still an issue and a draft disclaimer will be placed on the training server for review.

·  Patrons that have been inactive for over three years, do not have checked out items, and their fines are less than $10.00 will be deleted from the system.

·  Libraries will be given the number of deleted patrons at the end of the process.

·  Access PA discussions are moving forward. The data transfer will happen by the end of March or after the data conversion with Oracle.

Discussion of Non-Reqestable Materials

·  Debi Ryder is coordinating meetings of the Non-Requestable Material Committee.

·  The information will be shared at the LAC Meeting.

Cybraryn

·  Cybraryn issued a new software release and this will be installed at the current locations.

·  All sites have been implemented except for LBPH, McKeesport and Coraopolis.

PC Replacement

·  The eiNetwork staff is looking into alternative solutions to deploying 1300 pcs in 2005. More information will be available once the financial analysis is complete.

·  The eiNetwork will assume the financial responsibility to replace severs at the library sites.

·  The servers will be used as Cybraryn and print servers.

Other Discussion

·  A reminder will be sent to einlibs to always select “In Transit” instead of “on Holds shelf” when checking in items that trap for holds to be picked up at a location other than your library.
