Job Title: / Finance Officer
Scale: / Grade 4, Points 15-19 (£17072 – £18746), Pro-rata for term time
Hours: / Full time, Term time only
Responsible to: / Finance Director
Well-being and Appraisal: / Finance Director
Focus: / To provide professional, efficient and effective day to day financial administration across the Trust in accordance with agreed Trust policies and procedures, ensuring compliance with all relevant legislation, maintaining confidentiality and high professional standards at all time.

Summary of Key Areas of Responsibility:

  1. To provide financial administration across the Trust.
  2. To maintain the system of internal financial controls
  3. Produce quality work that meets deadlines and is accurate and professionally presented.
  4. Produce statutory and other financial reports as required.
  5. To comply with Advance Learning Partnership policies and procedures.

Key Area of Responsibility / Brief Outline
Generic responsibilities /
  • Maintain personal expertise, to be a role model and promote high expectations for all members of the school community through your role within the structure;
  • To model the values, ethos and vision of the Trust;
  • To maintain at all times the utmost confidentiality with regard to all financial reports, records, personal data relating to staff, pupils and other information of a sensitive or confidential nature.

Orders /
  • To monitor expenditure and ensure budgetary control;
  • Raising orders for the purchase of goods ensuring Best Value and Value for Money whilst adhering to the Trust Finance Policy;
  • Ensuring curriculum orders are delivered to the correct departments;
  • Dealing with any queries with regards to orders.

Invoicing /
  • Processing invoices and credit notes;
  • Reconcile invoices with supplies and services ordered;
  • Department recharges for photocopying and minibus;
  • Checking and reconciling statements.

Income /
  • Matching receipts with income;
  • Recording non invoiced income against relevant income codes.

Petty Cash /
  • Managing petty cash advances/reimbursements and posting receipts onto to finance system.

System Housekeeping /
  • Having an overall awareness of the need to match spending to Budget, alerting the Finance Manager of potential overspending;
  • Identifying which Academy/account income/expenditure relates to and recording accordingly to include all trading activities;
  • Overseeing and ensuring that all records are kept up to date, eg regularly checking for and cancelling out of date orders;
  • Dealing with any banking errors.

General /
  • Recording and banking any monies collected;
  • Chasing outstanding debts;
  • Dealing with any returned payments promptly and tactfully.

Special Conditions /
  • The post-holder will be expected to undertake any appropriate training provided by the Trust to assist them in carrying out any of the above duties;
  • The post-holder will be expected to contribute to the protection of children and vulnerable adults, as appropriate, in accordance with any agreed policies and/or guidelines, reporting any issues or concerns to their immediate line manager;
  • The post-holder will be required to promote, monitor and maintain health, safety and security in the work place. To include ensuring that the requirements of Health & Safety at Work Act, COSHH, and all other mandatory regulations are adhered to;
  • An Enhanced Disclosure with the Disclosure and Barring Service (DBS) will be undertaken before and appointment can be confirmed.
