Exporting Grades to TERMS
Administrator Instructions
January, 2006
School Administrators will make sure all teachers have submitted their grades for classes needing report card grades. Any teachers not submitting their grades can be contacted to have them submit their grades or the administrator can either choose to submit them manually for the teacher or eliminate them from being sent to TERMS.
Instructions for exporting the grades: (see the table below for the time schedule).
- Using Internet Explorer, go to gradebook.collier.k12.fl.us
- Login using your 6x2 login id and your Novell password
- Click REPORTS icon
- Click GRADES
- Click GRADES (SUBMISSION STATUS)
- Select the proper grading period
- Scroll down to see who has not submitted their grades and change their status manually one class at a time (not recommended), or contact the teacher and have them properly submit their grades.
HINT: Click the word STATUS in the column heading to sort by who submitted their grades. - When ready to actually export the grades, click the GRADES icon
- Click CHANGE STATUS
- Select the proper grading period
- Put a check in the box to the left of SELECT/DESELECT ALL CLASSES
- Scroll to the bottom of the screen and click SAVE.
- Click the GRADES icon
- Click EXPORT (SCHOOL)
- Select the proper grading period
- All teachers that had submitted grades should now be locked. Check to be sure they are.
- Put a check in the box to the left of SELECT/DESELECT ALL CLASSES
- Scroll almost to the bottom of the screen and make sure that EXPORT ALL INFORMATION is selected
- Scroll to the bottom of the screen and click SAVE
If you complete the above steps by: / You should see the grades in TERMS and be able to begin with your grade reporting checklist by:
5:50am / 7:30am
7:50am / 9:30am
9:50am / 11:30am
11:50am / 1:30pm
1:50pm / 3:30pm
3:50pm / 5:30pm
5:50pm / 7:30pm
Instructions for unlocking the grades in the teachers’ gradebooks so teachers can update grades after the report cards have been printed. Caution: Any grades entered into eSembler after the grades have been exported will not be transferred to TERMS. They must be manually entered either by the data entry person or office personnel.
This process should be done after the grades have been successfully exported to TERMS as determined by the eSemblerSchool Administrator
- Login to Novell

- Click CHANGE STATUS
- Select the proper grading period
- Put a check in the box to the left of SELECT/DESELECT ALL CLASSES
- Remove the check in the box to the left of SELECT/DESELECT ALL CLASSES
Note: If you are normal, you probably are wondering if you can skip steps6 and 7. The answer is NO!!!!! You must do both steps or you will not unlock the classes.
Teachers can now go back and update grades in their gradebook but first they must retrieve their grades by opening the class, choose preferences for the quarter they want to update, and click the SUBMIT GRADES icon. Reminder: This will not update their grade in TERMS. It must manually be changed in TERMS as described in the first paragraph.
