1  Introduction

1.1  Scope of This Document

This document outlines the steps / procedures for numerous media functions. The document scope pertains to the following categories:

·  Media recall process

·  Media transportation

·  Media archiving

·  Media destruction

1.2  Background

The focus on backup policies and procedures within [company name] are highly demanding. Business exposure due to failed backups has been highlighted as a primary core critical function of the business. To accompany backup successes and failures, the restoration of data by recalling media of a single tape or multiple tapes is core critical to business continuity.

2  Media Recall Procedures for Next Business Day Delivery

Media recall through the SecureSync application is one of the three ways available to recall media. This mechanism can only be used to recall tapes scheduled for Next Business Day delivery.

An alternate method is to call the Iron Mountain customer service number and request the media.

Note: All methods of delivery require authorization within [company name] requirements that a valid Customer and Authorization number be provided.

2.1  Recalls Using the Customer Service Number

To recall media using Iron Mountain customer service, please follow these steps:

  1. Call (123) 456-7890 (toll free number).
  2. Press 2 on your keypad and wait for assistance. You will need the following information when you reach an actual person:

·  The identification number on your authorization card.

·  Tape numbers.

·  The account number.

·  How soon you need the tape.

Ø  Critical - within 3 hours ($60)

Ø  Standard special – within 6 hours ($45)

Ø  Add-on – next service day (no additional charge)

  1. IM will give you a confirmation number. Record this number for later reference, if necessary.

2.2  Recalls Using SecureSync

To request media recall using Iron Mountain’s SecureSync application, please follow these easy steps:

  1. Go to https://www3.securesync.com/login.aspx to access SecureSync.
  1. Login to the application with your user name and password.

  1. Choose the account you would like to recall media for.

  1. On the top menu, click Request à Deliver Media.

  1. Enter the Media ID you would like recalled and complete the remaining information (see Figure 4).
