Open Enrollment is the time for Employees to add, delete or change their voluntary* benefits:

Health, Dental and Flexible Spending Accounts (Dependent Care and Unreimbursed Medical)

  • The New Munis Employee Self Service (ESS) Secure Website will be availablefrom 12:01 a.m.,August 7throughmidnight September 8, 2017.Employees must know their Employee ID # to access this website. If you have misplaced or forgotten your Employee ID#, please call Payroll at 540-658-6000 for assistance.See instructions below. Hard copies of instructions are available upon request.
  • A Benefits representative will also be available to assist you at Central Office with yourchanges (health, dental, & flexible spending accounts only) from August 7 through the close of business on September 8, 2017. Please make an appointment with: Olena ator call 540-658-6651 or Cynthia ator call 540-658-6669.Reminder: School division will be working a Flex Schedule (Fridays off) until August 18th.

Mark III Voluntary Benefits

  • Mark III enrollers are scheduled to be at various SCPS work sites during the Open Enrollment period. Please check with your work site for the scheduled days and times. Mark III enrollers will also be holding late day appointments at Central Office (37 Stafford Ave. Room #16 & 14 Stafford, VA 22554) on August 30 and August 31st. from 3 p.m. to 7 p.m. on a first come, first served basis.Voluntary* benefits include CAIC/Aflac Group Accident; Allstate Cancer; CAIC/Aflac Group Hospital Indemnity; CAIC/Aflac Group Critical Illness; AUL Short-term Disability; and, Texas Whole Life.Changes must be made through a Mark III enroller.

Note: New this year - Mark III enroller will NOT be able to assist you with health, dental or FSA enrollment.

The onlineFY 2018 Flexible Benefits Bookletis available in Pdf formaton the school website. In addition,you may receive a hardcopy of the booklet from a Mark III enroller or a Benefits employee in the Payroll & Benefits Office at Central Office.

Reminders

Open Enrollment is the only time that all contracted division employees can make undocumented changes to benefits. Changes to benefits made outside of the Open Enrollment period will be subject to the rules and regulations of IRS Section 125 .

Enrollment into the Flexible Spending Accounts (FSA): Unreimbursed Medical and Dependent Care must be done annually. All annual elections for the accounts must be divisible by 12 for monthly deductions.Ex. $1,000.00 divided by 12 = $83.34. If you take the $83.34 multiply by 12 = $1,000.08 actual amount of FSA annual election.Flexible Spending Accounts are “Use it or lose it”; calculate your annual expenses conservatively. Expenses are regulated by the IRS publication 502 and are subject to audit. You may be requested to document expense eligibility. Prior to electing to participate in the Flexible Benefits plan(s), it is important that you understand the Rules and Regulations found in the Flexible Benefits Plan booklet for plan year from October 1, 2017 to September 30, 2018.

  • Unreimbursed Medical: Annual Limit is $2,500.00.
  • Dependent Care: Annual Limit must not exceed the lesser of $5,000 for one or more children ($2,500 if you’re a married individual filing a separate tax return).

Instructions on how to use the ESS Portal are listed below. Remember, your opportunity to view your benefits online will begin August 7, 2017. Mark III enrollers will be available fromAugust 22ndtoAugust 31st, 2017, see your school location for schedule. We look forward to helping you make decisions in a convenient, secure, and accurate way!

Keep in mind before you begin:

  • You will need to use Internet explorer version 6.0 or greater. If you experience difficulty using the website, check your Internet Explorer version.
  • Newlycontracted employees, who, during their contract session, enrolled into Anthem health and/or dental and completed manual paperwork should NOTre-enroll in health and/or dental within the ESS Portal.This will prevent duplication of policy processing. If you are interested in enrolling in a Flexible Spending Account (FSA) – Dependent Care or Unreimbursed Medical, please see or call a Benefits representative. A Mark III Rep. can assist in the enrollment of anyof the other voluntary* benefits listed on page 1.
  • ESS is a secure website. Your user name is your employee Id number. If this is your first time using the ESS portal, please see instructions on the next page. Should you lose or forget your new password, have problems enrolling on-line or have any questions, please call, e-mail or see a representative in the Payroll and Benefits Office, Central Office at 540-658-6000.
  • Enrollment into the Anthem High Deductible Health plan (HDHP) is pair with a Health Savings Account (H.S.A.). The H.S.A. is an account individuals can use to pay for expenses covered under their HDHPs until their deductible have been met, or they can use their H.S.A.s to pay for qualified medical expenses not covered by their HDHPs. A bi-annual Employer Contribution of $250.00 – Fall and Spring semesters (subject to proration depending on hire date) or maximum $500.00/annually will be provided by SCPS. Employee arerequired to open an H.S.A. account with BenefitWallet before employer Contributions can be deposited. Employees also may contribute pre-taxed monies into the account per IRS regulations and monetary limitations. See FAQ’s. If interested, please see a Benefit Representative.
  • You may enter and re-enter the site as often as you like between 12:01 a.m.,August 7, 2017 and midnight, September 8, 2017. This site will retain and remember the most recent changes made.

  • When adding a new qualified/eligibledependent’s information, you will need to supply -Full Legal Name, Date of Birth and Social Security Number before electing coverage. Any newly addedqualifying dependent(s)with court ordered coverage will need to havesupporting documentation sent to the Payroll & Benefits Office prior to enrollment date (October 1, 2017).
  • When you have reviewed and/or made your final decisions or changes, review and print a benefit election confirmation page to retain for your records.
