SPORTSHALL AND SPORTSFIELD HIRE AGREEMENT

  1. Hiring the hall is limited to ensure that it does not conflict with teaching on Fridays or Mondays.

The hall can comfortably seat 300 guests and is therefore required from the person/organization hiring the hall not to exceed this amount.

Public Liability insurance cover is not included in this agreement and is the responsibility of the person hiring the hall to take reasonable precautions.

Parking facilities are between the entrance and exit area only.

  1. The adjacent Sports field is not included in the hiring of the hall, and therefore should not be used for the parking of vehicles or loading and collection of equipment during this period. However the sports field can be hired separately.
  1. Adjoining classrooms are excluded from the agreement.
  1. The kitchen is included but not for the use of industrial catering equipment as the electricity supply is inadequate and therefore no cooking is allowed. Food should therefore be prepared elsewhere and brought in to the hall to comply with the fire and health regulations placed on our school by the SouthPeninsulaMunicipality.
  1. + - 150 chairs can be provided on request. The chairs are stored in the boy’s toilet and must be returned to the boy’s toilet after the function. They may not be stacked and left in the hall. No tables will be supplied.
  1. In order to claim your deposit back. The hall is to be cleaned and cleared completely immediately after the function and the keys returned by 09h00 the day following the function/event.
  1. The School does not accept responsibility for loss or damage to any hired equipment.
  1. The School will not receive delivery of, or manage collection of hired equipment.
  1. A representative will need to be on hand at the school when the above takes place.
  1. Toilets will be supplied with three toilet rolls each, hand towels and soap dispensers.
  1. Viewing of the hall by appointment between 09h00 and 13h00 during a school week only.
  1. All waste, debris (left over food) must be removed from the premises and the hall cleared of furniture and equipment. Point 6 refers. The recycling area on our property is not for this purpose.
  1. Please be considerate of neighbouring properties and applicable bylaws in respect of noise and music during your function.
  1. It is the responsibility of the party hiring the School hall to ensue that they have security guards and all they need before the function. No representative of the school will be available after hours or on weekends to attend to any queries. This also applies to any electrical, plumbing, etc fault occurring during the function. An appropriate contractor must be contacted and paid for by the party hiring the School hall.

PAYMENT FOR HIRING OF THE FACILITY

  1. A deposit of R2 000 is payable on presentation of the hiring contract, refundable after the function and after completion of a check of the premises by the school. The deposit is forfeited in the event of damage, loss, theft, cleaning, etc. The deposit will also be forfeited in the event of cancellation within 60 days of the function.
  1. The full hiring fee of R2000 is payable when the keys are collected before 14h00 on the Friday prior to the function.
  1. Failure to comply with any of the conditions stipulated herein will result in deductions from the deposit or the complete forfeiture thereof.

I, ______accept the above conditions herein and in my personal capacity hereby indemnify the ConstantiaWaldorfSchool. Its trustees and employees from all legal responsibility in respect of any loss or damages suffered by us or as the case may be howsoever caused arising from my or their participation in the function/event held at the School on the aforementioned date.
