Spokane County 4-H Club Leader – Renewal CHECKLIST

December 1 – Deadline

(“Drop-Deadline” December 15)

Please set your target date for delivering renewal materials to the 4-H office forNovember 18th. Delinquent clubs will receive a reminder. Once forms are received, the 4-H staff will review and send a letter to the 4-H Club’s Leader(s) confirming official renewal for the 2016-17 4-H year.

Clubs not renewed by December 15th may jeopardize their 501(c)(3) status

Club Renewal Checklist

 Missing elements will hold up your re-enrollment process

☻____At least one enrolled [or soon to be] leader from the club has attended one of the two 4-H Fall Kickoffs.

☻____At least one of the Organizational 4-H Club Leader’s online renewal is completed

☻____A 4-H Club Bylaws Statement has been completed and other club guidelines by-laws have been attached.

☻____Complete the “4-H Club Contact Information Release”

☻____Complete the “4-HGraduate Survey”

☻____A Washington State 4-H Financial Reporthas been completed for the club's treasury for last year. If the club has no bank account or funds, the report form must be returned with the following statement written acrossthe form, “We do not handle funds in our club.”

☻____A copy of the Club’s Bank Statement for September (or October) 2016 is attached to the financial report. (NEW Also attached is a copy of checking account signature card.)

☻____If you have a club inventory, please complete or update theInventory Report Form(included with the Financial Report) listing all property owned (purchases & donations) by the 4H Club. If a club no longer has anitem, note the method of disposal, i.e., “sold, thrown out, etc.”

Checklist for Renewal of Adult Volunteers – Due November 15th

Individual adult volunteers and leaders not renewing by November 15th will be sent a reminder letter. If they have not re-enrolled by December 15th, they will receive another reminder. If renewal is not completed in a reasonably timely manner, volunteers may be required to reapply as a new volunteer including completing an online “review module” .

☻____Each adult volunteer has completed their online renewalcarefully having reviewed their email, phone, address, and listed projects. Corrections may be included at the time of renewal.

☻____Review your years of service as an adult leader.“4-H Age” is your age. “Years in 4-H” represents your years of adult service: Please do not count your youth membership years as “Years in 4-H.”

☻____Adultsmay not be officially renewed in the clubuntil at leastoneOrganizational Club Leader has renewedto reactivate the club.

Renewal of Youth Members

☻____Youth renewal has been completed online.

☻____There is no deadline for youth to be re-enrolled. November 15this the stronglysuggesteddate for re-enrollment.

☻____Youth who wish to have a steer at Spokane Junior Livestock Show will need to be enrolled byDecember 1st to participate.

☻____Youth may not be officially renewed in the clubuntil at leastoneOrganizational Club Leader has renewed to reactivate the club.

New Enrollment of youth and adults

☻____Each new youth member, has completed an online enrollment and has been approved by the club organizational leader.

☻____An adult must be trained and enrolled as a 4-H Volunteer prior to working with youth in 4-H in any official capacity. The first step to become an adult 4-H Volunteer is to attend 4-H Orientation (see below).

☻____4-H New VolunteerOrientations start at 5:30pm and end at 8:30 pm, are held in the conference room,at theWSU Spokane County Extension office, 222 N Havana and are scheduled for the following dates (may be subject to change):

Monday Nov. 14, 2016

Wednesday Dec. 14, 2016
