Attendance Types

Prior to using the Split Visits Over Midnight utility, your System Administrator must create an Attendance Type to record both worked time and unworked time. The Attendance Type must be set up to track indirect hours and transfer them to Timekeeping. If you want to export records using a supported payroll export utility, it must also be set to transfer to Payroll. The 7th Day Processing logic will then apply a premium if an employee works seven consecutive days. If the visit is scheduled on the seventh day, its pay service type will be changed to the OT_7thDay.

If an Attendance Type visit is the only visit scheduled on a given day, the Track as Hrs Wrk. box must be checked for the department in order for the utility to consider that visit to be valid when it counts consecutive days worked. Otherwise, it will not consider that visit as worked time and it will prevent the premium from being applied.

Pay Records

Prior to using the Split Visits Over Midnight utility, your System Administrator must define a Pay Record with a pay service type of OT_7thDay for each employee pay level. The Split Visits Over Midnight utility applies the values in this pay service type to those visits that meet the necessary criteria.

The 7th Day Processing and Split Visits Over Midnight Form

The 7th Day Processing and Split Visits Over Midnight form enables you to run a utility that locates specific visits, and then splits into two visits those that start and end on different dates, (i.e., extend past midnight). When a visit is split, the utility copies its properties, and then changes the start and stop times, as well as the duration. It also changes actions to visit-specific activities if they exist.

Prior to running this utility, you must ensure that all visits have been verified in Timekeeping. However, keep in mind that, if there is a different Statutory Holiday coding structure set up in the pay record, you must run this utility before running the Build Timekeeping procedure so the Pay Record Selection logic that is associated with the Statutory Holiday rules will be applied. Keep in mind that, once the utility is run, there is no way to reverse the split other than by manually combining the visits.

Timekeeping Record Filters (the Timekeeping record you want to work with)
Timekeeping Periods (the Timekeeping periods you want to work with in the specified Timekeeping record)
Include Verified Visits (specifies that visits that have been verified will be included in the process of splitting visits) (the visits will be used for the evaluation of consecutive days and, if the visit falls on the 7th day, the OT_7thDay pay record type will apply)
Include Unverified Visits (specifies that visits that have not been verified will be included in the process of splitting visits) (the visits will be used for the evaluation of consecutive days and, if the visit falls on the 7th day, the OT_7thDay pay record type will apply)
7th Day Processing (specifies that a premium will be applied if an employee works seven consecutive days) (does not impact Split Shift Over Midnight processing)
7th Day Count Start Date (the date on which the count of the 7th consecutive day begins)
Process CPA Records (specifies that Closed Period Adjustment visits, i.e., late timeslips, which have not been flagged as exported, will be evaluated for Split Shift Over Midnight processing) (does not impact 7th day processing)
CPA Visits Start Date (the date from which you want visits to be evaluated for Split Shift Over Midnight processing)

To Run the Split Visits Over Midnight Utility

  1. Go to Imports/Exports | Payroll | Split Visits Over Midnight. The 7th Day Processing and Split Visits Over Midnight form displays.

  1. From the Timekeeping Record Filters drop-down box, select the timekeeping record you want to work with.
  1. If you also want to be able to select from closed timekeeping records, click the Show All Periods checkbox.
  1. In the Timekeeping Periods table, click the checkboxes that correspond to the timekeeping periods you want to work with.
  1. If you also want to locate those visits that have been verified, click the Include Verified Visits checkbox.
  1. If you also want to locate those visits that have not yet been verified, click the Include Unverified Visits checkbox.
  1. If you want a premium to be applied if an employee works seven consecutive days, click the 7th Day Processing checkbox, and then select from the 7th Day Count Start Date drop-down box the date from which you want the count of the 7th day to begin.
  1. If you want to process late timeslips, click the Process CPA Records checkbox, and then select from the CPA Visits Start Date drop-down box the date on which the corresponding visits start.
  1. Click Run. A confirmation window displays.
  1. Click Yes to confirm.

Saving Settings to the Registry when Working in an ASP Environment

Note that in an ASP environment, the “PC” corresponds to one or more application servers, and therefore the Procura Shortcut switch that allows for the system to save settings to HKEY_CURRENT_USER should be deployed – in particular if the ASP is serving a multi-company implementation.
