Attendance Types

Prior to using the Split Shift Visit Creation utility, your System Administrator must create an Attendance Type for each department you want to work with. This will support the creation of an Attendance Type visit that records the split shift premiums.

To Create an Attendance Type for the Split Shift Visit Creation Utility

  1. Go to Maintenance | Scheduling Setup |Attendance Types. The Attendance Type Module form displays.
  1. Click Add. The Attendance Type window displays the General tab.

  1. In the Name textbox, type a name for your Attendance Type.
  1. From the Rebook Reason Table drop-down box, select the lookup table to which your attendance type belongs.
  1. Click the Departments tab.

  1. Select from the table the department to which you want to add your Attendance Type.
  1. Click Add. The Attendance Type Department Information window displays.

  1. From the Department drop-down box, select the department you want to work with.
  1. Click Add/Del above the Employee Categories table. The Valid Attendance Types Categories window displays.

  1. Move from the Source table to the Target table the categories of attendance types you want to add.
  1. Click Close to return to the Attendance Type Department Information window.
  2. Click the Track Hours checkbox.
  3. In the Default Hours section, select the Indirect Hours option.
  4. Click the Transfer to Timekeeping checkbox.
  5. If employee pay information is expected to be applied during the Build Timekeeping process, select from the Service Type drop-down box the appropriate pay service type.
  6. If you wish the pay information that is associated with your Attendance Type to be transferred to Payroll, check the Transfer to Payroll checkbox.
  7. If you do not want your Attendance Type to be included in the processing logic that looks for gaps between visits, type DO NOT USE in the Comments area.
  1. Click OK to return to the Attendance Type Module form.

The Split Shift Visit Creation Utility Form

Split Shift premiums are currently paid to employees who have visits on the same day, between which there is a gap of at least 1.25 hours. In order to transfer this information via a Payroll export utility, an Attendance Type visit is required. The Split Shift Visit Creation Utility form enables you to automatically create an Attendance Type visit wherever Split Shift premiums are owed. Keep in mind that the utility should only be run once for a given period.

Range Start and Range Stop (the range of dates you want to work with)(activates a table from which you can choose the departments you want to work with)
Department Filter (the departments you want to work with in the specified range of dates)
Attendance Type (the Attendance Type you want to work with) (additional Attendance Types may be created if a different Attendance Type is selected - if the same Attendance Type is re-selected for the same range of dates, no more than one Attendance Type will be created)
Visit Gap Duration (the duration of the visit, in hours) (the utility looks for visit gaps that are => this duration to determine when an Attendance Type visit will be created)
Export (starts the export process)
Validate (creates a report that enables the user to check for fields that are required in the export layout)

To Run the Split Shift Visit Creation Utility

  1. Go to Imports/Exports | Payroll | Split Shift Visit Creation Utility. The Split Shift Visit Creation Utility form displays.
  1. From the Range Start and Range Stop drop-down boxes, specify the range of dates you want to work with.
  1. In the Department Filter table, click the checkboxes that correspond to the departments you want to work with.
  1. From that Attendance Type drop-down box, select the Attendance Type you want to work with.
  2. In the Visit Gap Duration textbox, type the duration of the gap that exists between visits.
  1. Click Run.

Processing Logic for the Split Shift Visit Creation Utility

An Attendance Type visit will be created when the following criteria is met:

  • Only examine days that fall within the date range selected on the utility.
  • Find gaps between visits that are greater than or equal to the duration entered on the utility form that fall between midnight and midnight.
  • Ignore gaps that fall between visits where both visits cross over midnight. See business rules for examples.*
  • Ignore visits that are not marked payable (unless their cancelled visits).
  • Cancelled visits marked payable will not be included as a gap.

  • Include Attendance Type visits that are marked payable (unless they have DO NOT USE (not case sensitive) entered in the Attendance Type Department Comment field). For example;

  • Include verified.
  • Ignore unverified visits.
  • Held visits are ignored.
  • Planner visits are ignored.
  • The utility will only examine visits for an employee where the Employee Category for the visit’s Department has been validated for the selected Attendance Type and Department. This means that if there are multiple Departments selected, if an employee has one Department set up with an Employee Category that is not validated, that Department’s visits will be ignored but other Departments’ visit’s would be included.
  • Every Department is distinct. Only look for gaps between visits within a Department.
  • If more than one gap is found in one day, only create one Attendance Type per employee/dept.
