IN-SCHOOL COORDINATOR

Duties and Responsibilities Checklist

BEGINNING OF THE YEAR:

Scheduling and services:

  • Coordinate schedules of special education students, teachers, and paraprofessionals.
  • Coordinate caseload assignments and scheduling of special education students.
  • Ensure all special education students have an IEP in place at the beginning of school.
  • Ensure all special education services are in place including secondary and related services.
  • Coordinate the appropriate distribution of classroom accommodations, supplementary aids and services, and behavior intervention plans with regular education teachers/administrators/bus drivers.
  • Check out AT items from CO and distribute to appropriate students per their IEP.
  • Send files to appropriate schools for students transferring within the county and students who were held because of CRCT.

Transfers:

  • Coordinate placement of all special education in- and out-of-state transfer students and notify consultant immediately of all transfers.
  • Coordinate requests for special education records on all transfer students through Renea Walton, Werz.
  • Ensure that transfer IEPs are all entered into Clarity.
  • Verify that all special education students have been identified by going through the file of all new enrollments and looking for collaborative or resource course numbers on transcripts for high school students.

Clarity:

  • Complete a Clarity-Infinite Campus verification report and submit to central office. Correct any in discrepancies found.
  • Monitor service plans to ensure that ‘in-development’ IEP’s are promptly set to current.
  • Monitor evaluations to ensure that ‘active’ evaluations are promptly set to complete.
  • Ensure teachers assign new case managers in Clarity by required due date.
  • Inactivate no shows in Clarity by required due date.
  • Run eligibilities due report in Clarity and remind teachers to address eligibilities coming due at least 6 to 12 months in advance through DOR meeting.
  • Run IEPs due report in Clarity and remind teachers of upcoming annual review meetings.
  • Run transportation report in Clarity and be sure all transportation needs are being met.

Discipline:

  • Ensure that school administrators know how to verify that a student is a student with a disability.
  • Ensure that school administrators have a copy of all behavior intervention plans.
  • Ensure restraint and seclusion procedures are followed (i.e. trainings, paperwork submission, etc.)

Training, reporting, and support:

  • Ensure confidentiality procedures are reviewed and implemented school-wide.
  • Collect and submit 10 day class counts by the due date required.
  • Coordinate ordering of all special education materials and supplies.
  • Supervise the maintenance of all special education files

MONTHLY:

Meetings:

  • Attend scheduled in-school coordinator meetings and/or Elluminate presentations.
  • Conduct monthly school-level meetings to share information from the ISC meeting with all special education personnel based at the school.

Initial and Reevaluation Referrals:

  • Review initial referrals to special education (from SST) for completeness (ie: analyzed work samples, statement of status checklist, observations, consent) prior to forwarding file to consultant within 3 days
  • Ensure that all reevaluation referrals are submitted at least 3 months prior to the due date.
  • Ensure all DORs completed are submitted monthly to CO.
  • Notify appropriate IEP team members of initial placement and reevaluation IEP meetings, ensure appropriate parental notification, and secure meeting space.

IEPs:

  • Check ALL completed IEP’s/addendums and ensure any signed originals are submitted in a timely manner to Werz Central Office. (within one week of meeting)
  • Coordinate scheduling of annual review IEP meetings and ensure complete committees are present.
  • Coordinate the appropriate sharing of classroom accommodations, supplementary aids and services, and behavior intervention plans with regular education teachers/administrators/bus drivers.
  • Ensure progress reports are completed every 9 weeks and sent home to parents
  • Ensure data collection/progress monitoring is being completed for IEP goals

Compliance:

  • Submit Change of Status Form to CO within 3 days for all students that have (form may be emailed):
  • Withdrawn from Coweta County to attend another school, state, home school, and/or private school
  • Dismissed from special education – deemed no longer meeting eligibility criteria (including SLI dismissals)
  • All initial placements
  • All transfers to your school
  • Changes in eligibility categories (example – from SLI or SDD primary to LD primary, etc)
  • Additions or removals of related services according to IEPs
  • Special transportation additions or removals according to IEPs
  • Collect and promptly submit information for reports requested by Werz Central Office. (ie: class count, FTE count, case-load log, etc.)
  • Consult the Special Education Department website daily for important reminders/updates/changes and encourage special education teachers to do the same.
  • Supervise the maintenance of all special education files and ensure confidentiality procedures

Transfers:

  • Coordinate placement of all special education in- and out-of-state transfer students and notify consultant immediately of all transfers.

Clarity:

  • Consult Clarity website for instructions, troubleshooting ideas, etc., and assist teachers.
  • Assist with Clarity implementation school-wide.

Teacher Support:

  • Assist special education teachers with issues concerning curriculum, due process procedures, paperwork, and meetings. Support regular education teachers by recommending Tier 1 and Tier 2 strategies.
  • Support student support teams by aiding in the development of Tier 3 strategies.
  • Coordinate special education teacher participation in SST meetings, as needed.
  • Serve as the building expert on IDEA and other special education related topics.

Discipline:

  • Serve as consultant to principal/assistant principal regarding the discipline of students with disabilities.
  • Ensure that school administrators know how to verify that a student is a student with a disability.

  • Assist administration/case managers in tracking ISS/OSS days in Infinite Campus.
  • Conduct manifestation determination meetings or coordinate with consultant to conduct them, if needed.
  • Coordinate and attend transfer meetings to and from alternative school and all referrals to Burwell.

END OF THE YEAR:

  • Coordinate statewide testing accommodations for all students with disabilities with testing coordinator.
  • Ensure all annual review IEPs have been held
  • Ensure all IEPs are completed and set to current
  • Ensure all DORs have been submitted monthly to Renea Walton, Werz CO
  • Ensure all reevaluation packets are completed and submitted for any referrals recommended this year
  • Ensure all ESY paperwork is submitted
  • Return all AT equipment
  • Ensure all files are returned to school filing cabinet and in a safe and secure, locked location for summer
  • Ensure final progress reports are completed and sent home
  • Attend file swap and exchange folders for transferring students
