Accessing the site

Logging In

Go to:

Login Name: First Name Last Name (e.g. John Hancock)

Password: initially, it will be your first name(e.g. john). PLEASE change that password after you log in the first time to something that’s unique.

Forgotten Password

If for any reason you forget your password, you can have the system e-mail you a new password. Simply click on the Request New Password link and provide your name or e-mail address.

ASSIGNMENTS TAB

Upcoming Shifts

RepCenter keeps you up-to-date on your scheduled assignments. Within your account area, you can click on the “Assignments” tab to see a list of your upcoming shifts. When applicable, we provide a link to a map for the location, to see where you’re headed, and even get directions. Once that event is complete, it will automatically move to the main page for you to report on. (Read next page on “Choosing an event and a shift”).

Choosing an Event and a Shift

Once logged in, you should see a list of your assigned programs down the left side under “Events.”Shifts you have completed but have not yet reported on will appear in the main portion of the page. Select the shift you want to report on and click the associated “Report Now” button to begin.

Reporting Hours

When filling in your report, the first items to note are your hours of arrival and departurefrom your event location (your Account Manager or Supervisor will specify what this means depending on the program. Normally it indicates the hours of your shift). Please note that you will not be paid for your work until this report has been submitted.

Additional Reporting

You may also be required to supply additional information about how the day went, feedback from the public, and so on. Please answer all questions truthfully and thoroughly. The more detail, the better! Required fields are indicated with a red asterisk (*). Once this section is completed, if you have no additional compensation, click on Submit and you are done.

Additional Compensation

If you have been approved for additional compensation (EXPENSES) such as travel pay or mileage, you can specify the relevant information by clicking to expand the Additional Expenses form section which is written in orange under the “time you left location” option. Make sure to e-mail, fax or drop off the receipts that correspond with your expenses to your Account Manager. Also, please be specific in the “Description of Expenses” section. For example, “Expenses include gas to and from event ($30), parking on-site ($10) and per diem ($35).

Updating Your Daily Status Report

Once you have submitted your information, you will have 24 hours to go back in and make changes if you need to. (Please note that once the data has been accepted for processing by our payroll system, no additional editing will be possible). You can make changes to your report by clicking on the Event you want to modify on the left side. You will see a drop down menu under SHIFT WORKED, and when you go to choose the shift that must be modified, you will see (EDIT) at the end of that shift.

Updating Your Personal Profile

RepCenter is an ideal way for you to make sure Sparks has up-to-date information about you. Please take a moment to click on the “My account” link on the left side, review the details that we have entered, and inform us of any discrepancies or updates. Please e-mail Luanne Mahoney-Bouctsis: with any changes to your personal information (address, phone number, email, etc.).

RECENT PAY TAB

At any time on RepCenter, you can see how many hours have been processed for the dates you have worked. To see what day your pay cheque will be deposited, check out the document called “Pay Period Calendar 2010” under “Training Material” on the left side of the main page. Identify which pay period the dates you worked fall under, and you will see the deposit date.

REP RESOURCES

Training Material

On the left side of the page, you will see a section called “Training Material.” Here, there will be files and documents that you would have received at live/conference call training, as well as any other important documents that can be of use while working on a program. You should also find the formal training manuals for the programs you are assigned to, the SPARKS Ambassadors Roles & Expectations, the RepCenter manual and training videos in some cases.
