We are very excited by the potential of this post to engage with our local communities and to extend the range of opportunities and services we can offer to them.

This post has been generously funded by Walney Extension Community Fund for a period of two years. It is our intention to continue beyond that period, but this will be dependent on the success of the first two years and whether we are able to raise funding to do so.

Why the Coro Needs Volunteers:

The Coronation Hall has recently become a charitable organisation. Since the management of this great Ulverston community asset has been handed over from South Lakeland District Council to Ulverston Community Enterprises, we have begun making changes to ensure that the Coro will stay open to be enjoyed by the people of Ulverston and the surrounding area for years to come. In order to do this, we need help.

Funding since parting from SLDC has changed and staffing the building for all the extra shows, entertainment and community based projects has become quite stretched – if we are to continue to grow, we need to recruit (and keep happy!) new volunteers. Full training will be provided.

Existing volunteer roles – we hope to develop the range of these roles, to offer more people the opportunity to engage:

Stewarding

•Safety of the public whilst in the building, such as evacuation in an emergency

•Check tickets and guide people to their seats

•Information about the show: running times, if there is strobe lighting etc.

•Know fire exits, reporting and helping to sort spillages and hazards

•Minimise disruptions to shows and events by helping our visitors

•Alert Duty Manager to any disturbances or incidents

Caretaking - Supporting the brilliant team here

•Small maintenance and decorating jobs

•Setting up rooms for meetings

•Refreshments & Cleaning

•Watch to ensure safety and locking up

Ambassadors - Our local marketing champions

•Visit the Coro once a month to collect posters & catch up with what’s coming up

•Put up posters in prominent points in your community such as notice boards

•Champion forthcoming events by word of mouth and social media

•Liaise with us on the needs of your area, and feedback, both good and bad

•Help recruit members in your area

•Act as a point of contact for stuff like joint visits, putting people in contact for car-sharing etc.

Technical stage work

•Work with the Technical Officer setting up lighting, staging and tab tracks.

•Help as a member of the stage crewfor productions (get-ins,performance crew, get outs)

•Learn how to do the basic operations on both the lighting console and the sound desk.

Box Office

Do you have basic administration and computer skills? A calm methodical approach and friendly disposition? If so can you give 2 hours per week to aid our box office team?

•Help patrons buy tickets, both over the counter & via the telephone

•Use our booking system to update patron details, post out and file tickets

•Take both cash and card payments

•Promote shows and be a friendly face to all the lovely customers of the Coro

Bar Crew

Serving drinks for our shows can be a great way to see some of the most exciting local and international talent.

  • Serving drinks & snacks in both our Main Hall and Supper Room bars
  • Taking orders and organising interval drinks
  • Taking cash payments
  • Being a friendly and welcoming face behind our bars, ensuring our customers are happy and looked after

Job Description – Volunteer Coordinator

Title: Volunteer Coordinator

Direct Report:Chief Executive

Hours of Work:Variable, including out-of-hours and weekends

Employment Conditions:Two year fixed term contract with 3 month probationary period

Remuneration:Pro-rata £19,000 per year for equivalent 37 hours per week. 30 hours per week annualised hours + 3 % employer pension contribution

OVERVIEW

Coronation Hall is newly-registered as a charity and since August 2016 is managed by a not-for-profit social enterprise, Ulverston Community Enterprises Ltd.

The Volunteer Coordinator will play a key role in the development and delivery of Coronation Hall as a welcoming and vibrant community hub. You will focus on making the Coronation Hall one of the primary cultural and community venues in South Cumbria, engaging a wide range of people in volunteering to support the delivery and development of our events and services. The role involves assessing and meeting the organisation's needs through the recruitment, placement and retention of volunteers.

You'll manage volunteers and their relationships with those they come into contact with, including employees and service users of Coronation Hall and Ulverston Markets. You’ll open up life opportunities for a wide range of local people who may not otherwise engage with our work. You'll also monitor, evaluate and accredit volunteers.

You will achieve this by focusing on the community aims of Ulverston Community Enterprises, working with the team and a wide range of other stakeholders.

KEY AREAS OF RESPONSIBILITY ARE:

  • Research and write volunteer policies and procedures, including risk assessments
  • Liaise with departments within UCE, develop partnerships with other local community groups and assess volunteering needs
  • Generate appropriate volunteering opportunities and role descriptions based on the needs of the organisation
  • Raise staff awareness of the role and the function of volunteers
  • Ensure there is appropriate support and training for volunteers
  • Promote volunteering (internally and externally) through recruitment and publicity strategies and campaigns
  • Interview and recruit volunteers and ensure they are appropriately matched and trained for a position
  • Organise rotas and provide inductions and training
  • Monitor, support, motivate and accredit volunteers and their work
  • Celebrate volunteering by nominating volunteers for awards and organise celebration events
  • Offer advice and information to volunteers and external organisations through face-to-face, telephone, email and social media contact
  • Organise profile-raising events to attract new volunteers
  • Attend committees and meetings
  • Manage budgets and resources, including the reimbursement of expenses
  • Keep up to date with legislation and policy related to volunteering and make any necessary modifications to accommodate changes

CRITERIA and PERSON SPECIFICATION FOR THE POST OF VOLUNTEER CO-ORDINATOR

ESSENTIAL CRITERIA

You must have the following skills and experience:

  • Demonstrable experience of working in a people management or co-ordination role, preferably with volunteers
  • an empathy with volunteers and an understanding of their needs
  • Good organisational skills and project management experience
  • Excellent interpersonal skills to build close working relationships with a wide range of people including colleagues, event producers, artists and the local community.
  • Numeracy with the ability to gather and present information both written and orally, compile reports and make recommendations
  • Commitment to UCE’s mission, vision, values, aims, objectives and equal opportunities
  • To be able to work the unsocial hours required of the role

DESIRABLE CRITERIA

  • An understanding of the arts and community sector is desirable, a commitment to UCE and what it aims to achieve.As a charitable organisation we need someone who has the ability to cope with limited resources, seize opportunities and think creatively

TERMS AND CONDITIONS

Salary / £19,000 pro-rata per year for an average 37 hour week (this post is 30 hours). Annualised hours
Employer pension contribution / 3% of gross salary payable to a company defined contribution scheme
Hours of work / Variable with the needs of the business, often evenings and weekends. There may be an occasional requirement to work additional hours, for which overtime will not be paid. Time off in lieu may be taken by arrangement with the Chief Executive.

Performance review / All UCE posts are subject to annual performance appraisal.
Salary progression / Individual salary progression will be linked to performance appraisals and the needs of the organisation.
