SPSA Template / Resource Guide
Table of Contents:
  • Click on any entry on the table of contents and it will directly link to the page selected. (XP computers use Ctrl/click).
  • Follow attached directions (see Updating the Table of Contents) for how to change the table of contents and to delete the pages i, ii, and iii before turning in completed plan.

Section I:
  • School Information
Put an X on all school programs that apply.
Locate the CDS code is on the school’s former plans and assurances, budgets and justifications or at
Do not write any date on this page.
  • Committee Recommendations and Assurances
Obtain chairperson signatures that are requested from the various committees providing recommendations to the plan.
  • School Accountability Report Card (SARC): Delete the SARC instructions and include SARC in Section IX.
/ Section 1: Procedural Guidelines
  • Use Procedural Guidelines to assist in the development and writing of the SPSA.
  • Use boxes to as a guide and timeline for plan completion.

Section II: Data
  • Analyze student academic achievement data, student data and staff data to determine strengths and weaknesses.
/ Section 4: Content Area Toolkits
  • Use student achievement data, and California Standards Test (CST) Data, for AMO Key Finding on the Conclusions from Data Analysis page.

Section III: Governance, Leadership, and
School Organization
  • Provide actions to improve school organization, management structure, etc. Responses from this section can be used to develop objectives and strategies for the Partnerships, Support Services and Organizational Action Plan.

Section IV:
  • Complete School, Family and Community Partnerships Feedback Summary. List one priority for each type of parent involvement from the feedback tool template found in the Resource Guide.
  • Use the School, Family and Community Partnerships Analysis page together with the preceding summary page to develop the goal(s) for the Partnership, Support Services, and Organization Action Plan.
  • Parent Involvement Policy
Review and revise (if needed) school’s existing parent involvement policy. (Current parent involvement policy is to be typed or attached. Delete the information provided.)
  • School-Parent Compact (Title I schools)
Attach compact and delete this page. / Section 2:
  • Utilize the Measure of School, Family and Community Partnerships survey to obtain data from the parents for the SPSA. Schools can use this survey in the following ways:
Parents working with school personnel can select the most pertinent questions.
The survey can be distributed and returned to the school for tabulations or delivered orally through focus groups.
  • Provided as an example is the School, Family and Community Partnerships Feedback Tool Sample based on Tenet 4 of the Culturally Relevant and Responsive Education Action Plan.
  • Use School, Family and Community Partnerships Feedback Tool Template to prioritize survey items in each of the Six Types of Parent Involvement.


Section V:
  • Complete the five action plans that are based on the data analysis and the Content Area Toolkits. Science Action Plans may be included in this section. Template pages for Science Action Plan are provided in the Resource Guide.
  • Strategies/Activities page(s):
Outcomes/Evidence should include increase in student learning through formal or informal data (i.e., student work samples, periodic assessments, etc.).
TAS should align resources to targeted student groups.
Resources: use name of funding,
e.g., Title I.

  • Included is the sample format for completing the Action Plans.
Section 4:
  • Included are four content area toolkits. They are set up similarly and include goals, CST data (if applicable), content strand reports, and analysis of current educational practice information and questions to provide key findings for use in Action Plans.

Section VI:
  • Compliance Items:
Put a check or X in compliant column if school is compliant.
Leave the compliant column blank for non compliant areas and provide actions for compliance in the boxes provided.
Refer to Resource Guide Section 5 for sample responses for these pages. / Section 5:
  • Provided are sample actions to achieve compliance for each area.

Section VII:
  • Monitoring Section (two parts):
Describe the school’s plan to monitor the action steps supported by data from periodic assessments and student work.
Attach local district plan monitoring process.
Section VIII:
  • Utilize the Specially Funded Programs Branch website to download the current budget pages.
  • Attach these pages to the plan.

Section IX:
  • Attach all appropriate attachments and delete attachments that are not included.

Section 6:
  • Included are acronyms and specialized terms for use by the school community.

Technology Hints and Tips

Any of the following instructions may be used throughout the template.

Note: Instructions are done using the menu bar instead of the icons on the toolbars.

Opening CD
Using the Single Plan and Resource Guide Documents on the CD
When the Word documents on this CD are first opened, the following message may appear.

Click ‘No’ to proceed.
For PC / For Macs
/
  1. Double click on My Computer
  2. Select the drive with the CD icon and double click to open
  3. Double click on file to open
  4. To save on the hard drive, select
    File/Save As…/Save as Type: Word Document (*.doc) or drag desired file to the desktop and once opened save under a new name.
/
  1. On the Apple Menu Bar select option Go/Computer
  2. Select CD and double click to open
  3. Drag desired file to the desktop or double click on preferredfile to open, and to save on the hard drive, select
    File/Save As:dialog box.

*If after file is opened anda message “This file is read-only.” appears, click OK and Cancel; next, go to File/SaveAs to save the document.

Using the Table of Contents
/
  1. Scroll down to the Table of Contents (second page of the file)
  2. Position arrow over a section to open (example: hit ctrl + left click or click on the Governance, Leadership, School Organization)
  3. The document should open the hyperlink to the page selected.

To use theGoto function …
For PC / For Macs
Press the control [ctrl] and g. / Press the command button [] and g.
Updating the Table of Contents
Placing the Table of Contents after the Cover Page when the SPSA is completed:
  1. Place the cursor at the bottom of the Cover Page.
  2. For PCs go to Insert click Break… go to Section break typesclick Next page then click OK. For Macs go to Insert click Break… clickPage Break then click OK.
  3. Go to the Table of Contents page.
  4. Highlight/select from the title (TABLE OF CONTENTS) to the actual table of contents (with links).
  5. Go to Editclick Cut. (NOTE: do not perform any other function with the file or the computer until you have done step 6. There is a chance the table of contents may be lost.)
  6. Immediately scroll down to the BLANK page after the Cover Page and go to Edit click Paste.
  7. Go to the page i and highlight/select from top of page i to the end of the Acknowledgement section page iv and press the Delete button until the Cover Page is the first page. If a blank page is located after the TABLE OF CONTENTS page, place the cursor on the blank page and press Delete button until the next page appears.
  8. Go to the TABLE OF CONTENTS and follow instruction to update the table of contents.

For PC / For Macs
  1. Highlight the entire table of contents (it should appear dark gray)
  2. Right click
  3. Select Update page numbers only
  4. Click OK
  5. Select File/Save
  6. Table of Contents hyperlinks can now be clicked to access any plan sections or pages

  1. Go to Edit/Select All
  2. On the selected area, press ctrl and click
  3. Select Update field, then click or go to option
  4. Follow steps 4-6 for PCs
After deleting pages i, ii , and iii, return to the table of contents page and delete the entries for those pages one by one. To delete an entry from the table of contents, place the cursor on the right side of the entry and press delete and save the changes.

Inserting or Adding Extra Strategies/Activities Pages
/ In order to facilitate use of these pages, copy two to three Strategies/Activities pages before beginning to type.
  1. Add page breaks to create extra pages. To add page breaks: go to Insert/Break.../Page Break and click OK.

  1. Highlight/select texts and table that need to be copied; go to Edit/Copy.

  1. Click on the blank page that follows and go to Edit/Paste.

If extra pages are not needed they can be highlighted and deleted. It may be necessary to press Delete several times to bring up the next plan page.

Inserting or Adding Rows on Tables in Sections II - V
/ Inserting a Break…/Section break types/Next page in the middle of a table:
  1. Go to Insert click Break… go to Section break types click Next page then click OK.
  2. Highlight/select from the left side of the row on the table using the white pointer pointing to the right ().
Inserting more rows:
  1. Highlight/select a row on the page using the white pointer pointing to the right ().
  2. Go to Table slide down to Insertslide over to the right to reveal more options choose either Rows Aboveor Rows Belowdepending on where you would like to place the extra row.

Printing the SPSA
/ Before printing the plan, remember to refer to “Updating the Table of Contents” steps and view the Print Preview(under Fileon the menu bar).
Miscellaneous

To access the “Web” toolbar, go to View/Toolbars/Web; a toolbar will appear or will be added with the tools shortcuts; click on the arrow pointing to the left.

For Macs, a toolbar will automatically appear, when a link on the “Table of Contents” is activated; if not, follow the instructions above.

Hyperlinks:Depending on the version of Microsoft word, users must either hit ctlr + left clickor just left clickon a section in order to access the hyperlinks.

To view the outline of tables on the document, go to the menu bar, select Table/Show Gridlines (for MAC—Table and check Gridlines). If Hide Gridlines and not Show Gridlines is on the drop down menu, it means Show Gridlines is already activated.

For operating system Windows XP:
When opening the document if the text shrinks and “Comments” appear on the right side, drag the pointer to the menu bar and select View/Markup toremove the comments and extend the text to a full page.
