SILKSTONE SUMMER FETE 2017
NOTES OF PUBLIC MEETING HELD AT SILKSTONE COMMON METHODIST CHURCH ON 17 JANUARY 2017

Cllrs Richard Bell and Debra Smith (Silkstone Parish Council Summer Fete Working Party)

Cllr Smith distributed minutes from the meeting held on 6th December 2016, and conveyed apologies from Cllrs Liddell.
Cllr Smith opened the meeting with a suggestion that the meeting should aim to move towards formulating an action plan, and to seek volunteers for a small group to oversee the process. She then opened the meeting for comments. These notes cover new points raised and actions agreed.
1. A resident made the point that all publicity should be very clear with regard to the fund-raising purpose of the event, and that mixed messages should be avoided. In discussion about publicity new suggestions were made about obtaining a Facebook page, and spreading publicity through letters distributed via the schools to parents.
Action point: Look into/set up a Facebook page
2. A resident advised that a lady living on Moor End Lane is connected to a police officer’s charity and that it might be worth approaching the charity for support.
Action point: To follow up the lead in respect of the police charity
3. Discussion moved on to firming up the list of activities which the group would like to see take place at the event, and seeking commitment from local groups. The twinning committee plans to run a Palelois competition (similar to boules), and the WI intend to run a tombola (but not a cake stall).
Action point: Make a list of the key activities which are wanted at the fete, and then provide this in tick-list form to the groups who’ve expressed interest in being involved.
Action point: Write to groups with this list, and ask them to confirm which activities they want to run, and the resources they can offer.
Action point: Write to all other local businesses and groups to ask whether they would like to be involved eg in holding a stall, providing entertainment

Action point: Cllr Bell to get in touch with his local contact who runs a bouncy castle
4. Suggestions were made for activities: ideas not previously minuted include: a fun run for families around the field, culminating in a centre-ring; novelty races; fire engine; book stall; basketball competition; coconut shy; photo-based pets competition; geocache tie-in.
5. A resident suggested that, as a courtesy, households close to the recreation ground in Silkstone Common should be notified that a fete is being planned.
Action point: to consider when this action will be needed, then prepare and distribute a letter.
6. Silkstone Church may have suitable family games, such as are used at the summer garden party.
7. Some residents would like to explore a different name for the fete, perhaps incorporating the fact that this is the first 21st Century fete in the village.
Action point: all to put forward any ideas for a name
8. Cllr Bell expressed his view that the car parking issue should not be regarded as a problem for the group to resolve.
9. Volunteers for a small organising group were asked to contact Cllr Smith
Action point: anyone interested in taking part in a smaller group to carry out the practical arrangements for the fete, please contact Cllr Smith as soon as possible.
A further meeting has been arranged for 21st February 2017 at Silkstone Common Methodist Church at 7.00 pm. SUBSEQUENTLY POSTPONED – DATE TO BE ADVISED
