Purpose / Scope
Process to enable Employees to report sick leave. / This procedure applies to all Internet Operations Employees.

Sick Leave Reporting Process
Step / Description / Owner
1.0 / Employee determines a requirement for sick leave.
Employee contacts direct manager to report the requirement for sick leave.
For normal business hours employees this should be before 10:00am in the morning.
For shift work employees this should be as soon as possible to allow cover to be found.
Notification should be in form of a telephone call. If this is outside normal hours, and the notification is not time critical, then a message can be left on the managers voicemail by dialling 01628 407788 then pressing * and the extension number.
If the notification is time critical then all reasonable effort should be made to contact the manager and contact numbers will have been provided accordingly. This primarily affects employees working shift patterns.
Employees should make reasonable efforts to contact customers and colleagues to cancel or postpone meetings during their absence. / Employee
1.1 / Manager notifies Internet Operations Administrator of employee’s sick leave. / Manager
1.2 / Internet Operations Administrator updates sickness record documentation and informs HR. / Internet Operations Administrator
1.3 / For each day of absence step 1.0 needs to be repeated unless a return to work date has been agreed. / Employee
1.4 / Upon return to work the employee:
Completes anEmployee's Statement of Sickness form if the absence is greater than 3 days and less than 8 days.
The Statement of Sickness form is provided to the Internet Operations Administrator.
Provides a Doctor’s certificate if the absence is 8 days or greater.
The Doctor’s certificate is provided to the Internet Operations Administrator.
Doctor’s certificates should be provided within 7 days of returning to work. / Employee
1.5 / The Internet Operations Administrator updates the employee’s sickness record, files a copy of the documentation provided and sends a copy to HR. / Internet Operations Administrator

No item below supersedes any items in the normal BBC Sickness Absence policy.
1.1 / Pay during sickness absence is at the discretion of the BBC. You can, however, normally expect to be paid as follows:
> if you have less than two years' continuous service:
up to four weeks for each illness and an aggregate of 13 weeks.
> if you have two years' or more continuous service:
up to eight weeks for each illness and an aggregate of 26 weeks in any period of two years' service calculated up to 31 December following the date of going sick.
1.2 / During a period of sickness absence you are not expected to do anything that is inconsistent with being unfit for your BBC duties or which delays your return to work. Working for another employer or taking part in inappropriate social or sporting activities is regarded as a serious breach of discipline.
1.3 / If you are ill for four days or more during a period of annual leave, you may have the leave credited if you produce a medical certificate confirming the nature of the illness and the dates of incapacity.
If you have a period of sickness absence in excess of three months, your annual leave may be reduced pro-rata, in the light of your particular circumstances.
