Load in-Load Out

Exhibitors will be permitted to move in upon completion of the booths set by Veal Convention Services on Tuesday, May 12, 2015. The Birmingham ballroom is contracted for you during the hours of 8am-6pm on Tuesday, May 12, 2015.

Drayage

The Sheraton Birmingham does not accept exhibitor freight. Freight for exhibits must go through an approved exhibit company such as Veal Convention Services. Individual small packages shipped to the Sheraton Birmingham Hotel must arrive no earlier than 3 business days prior to arrival – see below shipping and receiving procedures – charges applicable.

SHIPPING AND RECEIVING PROCEDURES

General Information

Always plan to ship packages to be received on site no more than three (3) business days prior to the beginning of your event. Items received any earlier will not be accepted. Shipments from Exhibitors will NOT be accepted. They must ship through the Exhibit or Decorating Company.

Always identify your packages with the Name and date of the event and the name of the Event Manager you are working with. Always call your Event Manager before shipping pallets of materials.

All packages are to be delivered to the loading dock and will be stored in our Shipping and Receiving area.

Handling fees/Inbound Package Handling Fees:

This is the standard range of pounds. Minimum fee to be applied to all to be used for all Hotels incoming packages

6 to 20 pounds / $10.00
21 to 50 pounds / $15.00

Storage

The Sheraton Birmingham is not permitted to store any items at the Sheraton Birmingham/BJCC property. All boxes, crates and other materials must be removed by the decorator (i.e. Veal Convention Services) after the event’s setup is complete. Any items not removed, or that remain after the event will be disposed of and Alabama Council of Society for Human Resource Management (ACSHRM) will be responsible for any and all additional charges for such removal.

Decorations

Decorations, banners or other similar items are permitted in the Sheraton Birmingham Hotel/BJCC. Banners must be hung on pipe and drape from an approved exhibit company such as Veal Convention Services. Helium filled balloons are not allowed to be sold or distributed. Helium filled balloons are permitted only as a display and only if properly secured. Fees for balloon removal is $10 per balloon. Loose glitter and sprinkles are not permitted. Use of loose glitter will result in deep cleaning fees to be determined based on cost to remove glitter from carpet – fee is passed on to ACSHRMafter the end of the event.

Additional Clean Up Fees

The charges in the Agreement include reasonable clean-up. If extra or special clean-up is required, the ACSHRM will be responsible for an additional charge based upon the Sheraton Birmingham/BJCC’s extra cost and expense. The ACSHRM shall be responsible for leaving the Sheraton Birmingham Hotel /BJCC area, neat, orderly, free of debris or display refuse, and in good condition no later than the activity completion date and time.

Lost and Damaged Items

All equipment, banners, decoration and other items brought into the Sheraton Birmingham/BJCC by ACSHRM, it’s agents, guests or invitees shall be a the sole risk of ACSHRM. The Sheraton Birmingham Hotel/BJCC and the ACSHRM shall not be responsible for any damage or loss of any personal property. The ACSHRM shall be responsible for all damage to the Sheraton Birmingham Hotel/BJCC property caused by them or any of the group’s agents, guests or invitees.

Animals

With the exception of dogs and other animals trained and used to assist the disabled, no animals are allowed in the hotel or BJCC meeting spaces.

Use of Event and Function Space

To protect the safety and security of all Hotel/BJCC guests and property, Group will obtain Hotel’s advance written approval before using items in event and function space that could create noise, noxious odors or hazardous effects (e.g. loud music, smoke or fog machines, dry ice, confetti cannons, candles, or incense) and before engaging in any activities outside of the reserved function rooms (e.eg. registration table). Group will obtain any required Fire Marshall or other safety approvals, and will pay any expenses incurred by Hotel as a result of such activity, such as resetting smoke or fire alarms or unusual clean up costs.

Security

Hotel does not provide security in the event and function space and all personal property left in the event or function space is at the sole rise of the owner. Group will advise it’s attendees that they are responsible for safekeeping of their personal property. Hotel may reasonable require Group to retain security personnel in order to safeguard guests or property in Hotel. Security personnel are not authorized to carry firearms without advance Hotel approval.

No Smoking

The Sheraton Birmingham Hotel /BJCC is a “smoke free”(non-smoking) environment.
