Office Administrator - Job Description

HOURS: P/T 20 Hours per Week - Monday thru Friday (9AM-1PM)

$15 per Hour to Start – No Benefits

QUALIFICATIONS:

  1. Some College (BA/BS+ Preferred)
  2. Computer Skills (Macintosh & Microsoft Office Suite)
  3. Proficiency in the use of office tools (copy machines, multiline phones, etc.)
  4. Strong organizational skills
  5. Ability to exhibit both emotional intelligence, strong communication, and the ability to keep exceptional confidentiality
  6. Ability to treat everyone in a professional and caring manner
  7. Have an excellent command of English composition/punctuation
  8. Excellent ability to multitask (i.e. toggling several processes, managing multiple programs, and maintaining several systems daily)
  9. Experience in an office environment

PURPOSE OF POSITION

Primary function of the Office Administrator is to oversee all activities of the main church office. This person would report directly to the Pastoror the Church Moderator as the need arises.

JOB DUTIES INCLUDE, BUT ARE NOT LIMITED TO:

  1. Maintenance, tidiness, and organization of the frontend office area.
  2. Orders and maintains office supplies and equipment
  3. Organizes supply shelves, cabinets, and demarcated box files
  4. Routine updating and filing (bulletins, blue book info, financials, contracts, misc. reports, etc.)
  5. Updates SRCC organization managementonline tool (i.e. REALM) daily (e.g. keeps accurate membership records, address changes, etc.
  6. Oversee and manage, via a service provider theWiFi/online presence across the campus of SRCC
  7. Organization and maintenance of the main church calendar (Google Calendar) in conjunction with the Pastor
  8. Pick-up, distribution, and dissemination of all mail/correspondence
  9. Screens and routes all incoming calls and walk-ins
  10. Fields correspondence – Email, mail, phone calls, etc.
  11. Coordinates scheduling of events with members and renters
  12. Organizes, collates, and prints Bulletin Insert[s] in conjunction with Pastor
  13. Organizes, prints, and collates Annual Report
  14. Organizes, prints, and collates SRCC Church Directory Annually
  15. Prepares, proofs, and sends Online Midweek Updates with Prayer Listing (viaMailchimp)
  16. Prepares, proofs, and sends Quarterly News Letter (via Mailchimp) and mails 25-30 hard copies various locations
  17. Manages and coordinatesroom use throughout the property
  18. Receives and responds to initial request[s] for facility use—coordinates and disseminates information to appropriate individuals/committees
  19. Coordinates church supplies withappropriate distributor[s] (kitchen supplies, restrooms, main printer (i.e. ink), etc.
  20. Coordinates church volunteerism and donations with various organizations (LFTKs, Food Bank of CCC, IFCCC, Shelter Inc., etc.)
  21. Coordinates with churchwide committees/orgs (20 entities) – coordination, communication, printing, etc.
  22. Prints materials on behalf of members as needed
  23. Other duties as assigned

Administrator should exhibit a demonstrated and conscientious work ethic (i.e. on time, eager to learn, and genuinely present), a willingness to be flexible, and should have a sense of humor.
