Setting up folders in Microsoft Outlook (e-mail)

As with My Documents and the Shared Area it is possible to set up folders within your e-mail to make the management of your e-mails more effective.

Setting up a new folder

1)Decide where you want to place the new folder – it may be in your Inbox or Sent folder, or anywhere you like.

2)Let’s say we want a new folder called “Tutor Time” in our Inbox.

a)Right click on the word Inbox on the left hand side of the screen

b)Choose the option “New Folder…” and new pop-up appears

c)Enter the name of your folder in the “Name” box and click OK.

A new folder should appear under your Inbox

d)If it does not appear then you may see a “+” symbol to the left of “inbox”, click on the “+” and it will reveal the folders within your Inbox. You would now see a “-“ symbol next to your Inbox. Clicking that will then hide your sub-folders within Inbox.

Deleting a folder

Having set up a folder, you may decide you no longer want it or that the content is redundant. Simply right click on the folder and choose the option Delete “…….”.

Moving items into folders

a)Moving one at a time

Simply click on the e-mail you wish to move, hold down the left-click on your mouse and move the item over the folder name and then release the left-click.

b)Moving a block (group) of emails into a folder

Click on the first item you wish to move. Then hold down the shift key (the upward arrow above the Ctrl key) and click on the last item. You should get a block of emails highlighted in blue – this is the block that you can move.

Drag the block to the new folder by left-clicking on the highlighted area and dragging it to the folder, release the left-click to drop the emails into the folder.

c)Moving a selection of items.

Left-click on the first item you wish to move. Then hold down the CTRL key and left-click on the subsuqent items you wish to move. Each one will be highlighted in blue.

To move the selected items, left click on one of the blue areas and hold down the left-click to drag the items to your chosen folder. Finally release the left-click to drop them into the folder.
