Senior Night To-Do’s

Budget

Determine Budget from Booster Board Treasurer

Save receipts for reimbursements

Meetings

  • Schedule Kick of meeting
  • Appoint a committee chair
  • Schedule the remaining meetings for the season
  • Include Steve in first meeting
  • Schedule remaining meetings as needed to plan and execute the event

Ice Arena Communication

  • Communicate the date (verify with the Booster Board VP ifthis was already done)
  • Communicate when program will be done so they know when to resurface the ice.
  • Consult Steve on timing
  • Discuss with arena staff where to lay carpets for parents and players to stand on ice.
  • Advise that you need spot light and at what time they need to turn lights off
  • Reserve west meeting room for reception (verify with the Booster Board VP if this was already done)
  • Communicate how many tables needed upfront to display senior boards
  • Let them know that you will need to use break through banner.

Band

Request band/cheerleaders withTom Storm band director. Sometimes this may have been done, check with the Booster Board VP.

Youth

Communicate to CGHA Girl’s Director if to have U8 or U10’s attend. Also communicate what the process for girls will be and what time they should be at arena and read. Provide meeting points. Current director is Mike Post.

Programs

Questionnaire/senior pics/print booklet

Assign people to create program, collect senior photos and print booklet. We have templates from last year to be used. Last year we print 80 programs. Pull out one programs for each senior to have.

Announcement sheet

Send out questionnaire to senior girls to complete and provide deadline and point of contact (template available).
Prepare scriptfor announcers to read (template available)
Communicate with the Game Announcer approximately 1 week prior

Reception

Cake -Someone will have to order and take picture to put on front of the cake
Paper product needed, table coverings, plates, napkins, cake knife
Provide water in coolers
Contact Starbucks they have donated coffee in previous years.
Someone will have to pick up and return
Assign people to set up and clean up

Photos

Contact team photographer (Steve Rooker) to provide details on picture needs (Communicate with the Booster Board VP to ensure the photographer has been scheduled for this game)
Assign someone take candid shots throughout the event and at the after game reception.

Decorations

Flowers-Last year we did white rose spray painted green with glitter from CG floral

Balloons usually get from dollar store

Corsages for moms

Picture boards

Provide card board tri-fold poster board for each Senior to decorate (within budget guidelines)
Communicate with the seniors when they are due and collect them

Hold the boards and bring them to Senior Night Event and the End of Year Banquet

Return the boards to the Seniors after the End of Year Banquet

Senior gift

Within budget, arrange for senior gift and/or goodie bag. If Banners have been ordered, that will be the senior gift.

Senior Night Invite

Send out Invite to players and parents about program via email. Template available.

On Ice Details

Assign Coordinators for parents and youth players to direct them what to do.

Email parents to let them know where and what time to meet

Document on ice process and communicate to parents, players, and ice arena.

Let coaches know where you want them to stand on ice

Let coaches know where JV players should form tunnel on ice

Assign people to hold break through banner for players to skate through

Communicate to senior girls to bring Green (clean) jerseys home for moms to wear

This is what we did last year:

On Ice process:

Parents will be standing in bench area. Senior will come out where Zamboni comes on, little sisters come through door where player exit after games, little sister will skate to senior give them rose, Steve Rooker was standing there taking photos and senior will skate to meet parents at red carpet to meet coaches and then parents. Girls and parents stand next to pillars. Steve Rooker take photos of players and parents once all girls have been introduced.

JV/V girls will make arch with sticks at Zamboni doors, seniors will skate through when announce. They will skate to little sisters (which will be lined up along boards on opposite side. Little sister will hand rose. Seniors will skate with little sister to coaches which will be in front of visitor bench. Little sisters will exit to visitor bench. Parents will be coming out from home bench and every one will line up in front of bench on red carpet.

Steve Rooker want girls to count to 5 before little sister hands senior rose.
