FY18 Perkins Plan

Important Reminders

  1. Use the latest version of Adobe Reader when working on the plan.
  2. Disable pop-up blockers. They will interfere with printing the plan.
  3. If you have difficulty, contact your Regional Coordinator.
  4. Take a screen shot of the error message or problem. We will send this to the MSDE IT coordinator.
  5. Record your password in a memorable place.

New for FY2018

Character limits have been reduced from 3,000 to 2,000 characters in the Local Perspective section and Strategy Worksheet A (except for the budget narrative). An error message will appear when the character limit is exceeded. Text cannot be saved the field until the character limit is reduced to 2,000. If more space is needed to respond to a question in the plan, please address it by adding an appendix.

Passwords

  • Plan users can reset their passwords. There is a “Forgot password?” button.

Using the “Add an Activity”Page

Dropdown Menus

  • When adding a new activity in the ADD ACTIVITY page you must select the cluster name from the dropdown menu. If the cluster name is not selected, the activity will not show up when the plan is printed.
  • Select the CIP code and program name from the dropdown menu in the ADD ACTIVITY page. If they are not selected, the name of the program will not be visible when the plan is printed. CIP codes and program names have been updated for FY2018 on the dropdown menu. However, if a program name is missing, please type it into the Rationale or Activity.

Title I Budget and Amount and Title I Equipment Amount

  • Equipmentcosts are totaled automatically, and must be included in both the Title I Budget Amount for each worksheet and listed separately in the Title I Equipment Amount box. For example, for a purchase of $40,000 of materials of instruction and $10,000 of equipment, the entry in the Title I Budget Amount box would be $50,000 and the entry in theTitle I Equipment box would be $10,000. IF THESE INSTRUCTIONS ARE NOT FOLLOWED, THE STRATEGY WORKSHEET TOTAL ON THE FINANCIAL COMPLIANCE WORKSHEET WILL BE INCORRECT.

Click on Add Activity at the bottom of the page to save your work. The activity will appear on the Strategy Worksheet A page (or B if it is a B worksheet).

The Online View and the Print View

  • Activities are not sorted by cluster in the Online View of Worksheet A, or in the B worksheets. To view activities sorted by cluster, click on “Print This Page” at the top of the strategy worksheet to check the print view.
  • The word “Output” appears in the online view for Worksheet A and the B’s, but this field is not required to be completed. It also appears in the Edit view, but is not visible in the print view. The Output field is reserved for completing Perkins final reports.

Editing an activity from FY2017

  • If you are editing an activity from FY2017 to include in the FY2018 plan, use the print view to check if the program name appears. If it does not, please type it into the “Other” field below the CIP code dropdown menu. The printed version of the Perkins plan is the plan that is reviewed, so make sure all information is complete in the edited strategy worksheet.
  • Click on “Edit” under the activity you want to update. Save your work by clicking “Update” or Click “Cancel” to delete new text that you added in Edit.
  • “Delete” is used to delete an entire activity.

Financial Compliance Worksheet

  • Most fields in the Financial Compliance Worksheet are pre-populated by MSDE or completed automatically based on budget entries on the strategy worksheets. Three items are completed by the CTE director: the Indirect Cost Taken, the administrative cost and the FY2019 Estimated expenditures.
  • If the Total Grant Award is incorrect, check that the Equipment costs have all been entered into the appropriate fields on the strategy worksheets.
  • After making a correction to the Financial Compliance Worksheet, click on “Recalculate.”

Timing Out

  • The plan will time out and shut down after three hours of no activity, and the unsaved work will be lost.

Printing

  • Each section of the plan can be printed by clicking on “print this page.”
  • To print the entire plan, click on Summary on the menu on the left. At the bottom of the page, below the Upload History is the Print Plan Center. Click on “Print Plan.” If the plan does not print, disable the pop-up blockers and make sure you are using the latest version of Adobe.

Uploading Files

  • To Upload files: Sign into the plan. At the top of the page, next to “Home” and “Plan,” click on “Upload.” Fill in the text boxes and click on “Choose File.” When the file name appears, click on “Upload file.”

Multiple Plan Writers– If the LSShas multiple people using the password and adding content to the plan, it is best if there is only one person logged in at a time.
