1 Horder Centre

1.1 Grateful thanks to the Horder Centre for hosting our meeting . Karen East gave a very interesting and informative presentation on the work carried out at the Horder Centre and the plans for the future. The Horder Centre is working closely with both GP practices in the town to bring in more services.

2 Introduction from all present

3 Minutes of last meeting/Matters arising

3.1 From meeting minutes 1st November 2014 Para 6.4 Zena said ‘the pedal bins are dangerous for those with mobility issues’.

4 Feedback from CCG meeting

4.1 No feedback as meeting was cancelled

5 Feedback from waiting room duties

5.1 David Burleigh made the following observations: - too many signs about the ticket machine and seating area causing confusion, the stand alone post was not of good quality; numbers on the tickets are confusing due to the big red 5 on the bottom of the ticket. On Friday afternoon only one desk was open and the waiting time was half an hour

5.2 Phil said he was disappointed with the quality of the ticket machine. He had searched on line for a better product but there were very few to choose from. He is going to have another look for a chunkier machine. The tickets are only available with 3 digits but the illuminated number display only has 2 digits. This also caused confusion for some patients.

5.3 Sandy asked if receptionists could check with the seated patients if anyone was waiting to go to the desk as the allocated red chairs were often being used by patients waiting to see the GP.Action Phil

6 News/Update from the Practice

6.1 The three retiring GP’s Dr’s Jones, Pickering and Barnes held a coffee morning in December to say good bye to their patients. This event was very well attended

6.2 Dr’s Jackson and Dr Vasdev have been appointed as partners and Dr Aron has increased his availability. All are settling in very well

6.3 The Practice was inspected by the Care Quality Commission on the 18th December 2014. The CQC met with GP’s, nurses, staff, patients and PPG rep. They were in the practice from 8.30am until 6.30pm. The practice is still waiting for their grading but at the end of day feedback meeting the CQC did not have any negative comments. The result is expected shortly and will be one of the following grades: - Outstanding, Good, Requires improvement, Inadequate

6.4 The practice has given a record 6200flu vaccinations this winter. They were 2nd top in the Seaford, Hailsham and Eastbourne area.

6.5 Electronic prescribing will be starting in March/April and will be rolled out over the next few months

6.6 The practice website has been revamped. Phil had previously asked for comments from the PPG and he was currently working his way through the suggestions he had received.

6.7 The friends and family test has so far had 92 responses. 72 were very likely to recommend the practice, 14 were likely, 3 were neither likely nor unlikelyand 3 were extremely unlikely to recommend. GP’s contacted relatives of the latter and sorted out the problems.

6.8 CCG Update –Finances in the year 14/15 are the best for a number of years and on target to break even at the end of the financial year

6.9 East Sussex Better Together - There is, at the moment, confusion about whether problems are health or social care, so from April 2015 there will be a single point of access for both

6.10 NHS England is being restructured and they are asking CCG’s to take on additional responsibilities. GP’s will decide their best way forward in the next 4 weeks.

6.11 The CCG is working with Eastbourne DGH and other hospitals to try and improve the current waiting times for appointments particularly Rheumatology.

6.12 Phil has to write a report for NHS England about the PPG and the work we have done in the practice. He suggested the following topics –The new queuing system, the revamped website and the change in the duty doctor triage system for young children. These topics were agreed by the group. He will also mention that our aim is to improve the patient experience

7 News/Views/Comments from Group members

7.1 Kate asked what the status of The Horder Centre was. Phil explained that the building was sold by The Sussex Healthcare Trust to the Horder Centre, a not for profit organisation. Both GP practices in the town support the Horder Centre to keep health services in Seaford

7.2 Zena had problems getting a prescription from the out of hour’s service and asked if the details of 24 hour pharmacies could be put on the practice website.Action Phil

7.3 Leanne also expressed concern using the 111 service as any mention of patients with dementia resulted in an ambulance and hospital admission when mostly only a prescription was needed. She also asked if care homes could have a different point of access when collecting prescriptions for their clients.Action Phil

7.4 Clive asked if NHS choices could be put as a link on the practice website. Action Phil

8 Comments from the suggestion box

8.1 Could change of address and prescription order forms be available in the waiting room so that patients do not have to join the queue to get them? Action Phil

8.2 Request for a water fountain in the waiting room. Discussed by group and rejected for several reasons including possible infection and health and safety issues. It was noted that Receptionists are very good at getting water for those who request it.

8.3 Request for a place where current medical conditions can be added to new patient health form – it is already on the form

8.4 Newsletter covering the new ticketing and queuing system circulated and approved
