SDAHA Board Conference Call MinutesWith NGIN

Present: Dan French-SDAHA President, Gary DeYoung-Treasurer, Tony Leif-Vice President, Rhonda Schenkel-Secretary, Dawn Magee-State Risk Manager. Representing NGIN are Ryan Hanson & Josh Opiola.
Reason for conference call discuss using NGIN’s background screening for coaches, referees & volunteers for all associations affiliated with SDAHA.
Discussion:
1.How the link will work? Have a link on each local association’s website to go to SDAHA to fill out the NGIN Consent to Screen form. Asking Mitchell to do this as well since they have been doing something different the last year.
2. Who all will need to do this?
A. All coaches will need to before they can be on the roster. Local & State registrar’s will be notified who has done the background check in order for the coach to be put on a roster. Would prefer to have each coach fill one out before they are on the ice with the kids, but each association will have to monitor that since the rosters are not finalized until November.
B. Referees
C. Dawn is checking with Casey Jorgensen, USA Hockey to see if we need to run background checks on student coaches & referees who are under 18.
3. Fee? $10.00 each. Will start fresh this year 2014/15 season meaning everyone will be screened & then every other year. There is no set up fee. Takes 5 days to build, send over to State for review giving us 2 days to review & once given the ok can be up and running right away.
4. Billed how? NGIN will send a monthly receipt to SDAHA who will pay it online if this is an option. Ryan is checking with Nick for Gary. They are thinking this should not be a problem. SDAHA will assess each association at the end of the year like they have done in the past, proportionately.
5. Once screened then what? If need to validate someone, it could take 3 days. They need to contact the local’s court house & then will notify the State; otherwise 24 hours for most.
A. Appeal process is followed like it has been in the past following USA Hockey rules.
6. Records are kept a minimum of 7 years. If we do not contact them they will discard anything older than 7 years.
7. Dan French will be contacting the local association presidents to set up a conference call to go over & get approval. Ryan & Josh both stated they would make themselves available to be on this call.
