Receptionist

The Family Centre is looking for a Receptionist. This position supports clients, Leadership and Frontline staff. The Receptionist reports to the Executive Assistant and is responsible for keeping the front desk area operational and welcoming.
Please Note *** the hours for this position will be decided by the supervisor and the candidate. We have three scenarios of hours to choose from.
1)12:30pm – 8:30pm Mon – Thurs, Sat 8:30am -4:30pm
2)2 shifts a week 12:30pm – 8:30pm Mon – Thurs, and alternating Saturdays 8:30am – 4:30pm.
3) .80 position 12:30-8:30 and a .20 position for Sat 8:30-4:30
Qualifications:
- 2 Years Post-Secondary Education Preferred
- 1 years’ experience in Administrative Support position
- Able to work in a shared space and shared role
- De-Escalation skills and comfort supporting highly distressed individuals are a must
- 1 year experience interacting with disadvantaged individuals such as: individuals with mental health concerns, experiencing domestic violence, addictions or English as a second language.
- Ability to manage a fast pace, dynamic, high volume reception area with efficiency and a friendly client focused approach.
- Ability to work a combination of Days, Evenings and Saturdays.
Key Responsibilities:
- Provide information
- Create a welcoming attitude and helpful environment
- Represent TFC while a professional manner
- Validate/guide/support internal and external parties
- Book/cancel appointments in database
- Process payments and write accurate receipts
- Scan documents for interpretation and have clients fill out CIS info form
- Complete Insurance Invoice for CFFS clients when requested.
- Call ext 248 when SVP clients arrive
- Provide initial paperwork to new Therapy clients
- Support Drop-in Single Session Counselling clients
- Open files by creating them in the electronic document repository.
- Telephone counselling clients are mailed correct forms including an addressed postage paid envelope
- Mail dispersed to appropriate mailboxes
- Put mail with postage already completed in mailbox
- Replenish coffee and supplies throughout the day
- Order coffee supplies when necessary
Daily Responsibilities
Opening and Closing:
- Make coffee, prepare reception waiting area
- Print next day’s daily booking form
- Print contact form and complete reminder calls
- Pull ledger for next day and file by appointment time. Write appointment date on ledger.
- Ensure intakes are completed for next day and file
- Complete daily deposit
- Create an intake file
- Empty coffee containers and rinse
- Fill water feature. If office closed for 3 days or more, turn off water feature.
- Secure confidential information
- Turn on/off lights and alarm all offices on each of the 3 floors after everyone has left for the day.
COMPENSATION
From $39, 255 – $50, 340 Annually
