Helpful supporting information / The process of receiving an invite to a Child Protection Initial Case Conference has changed. The process of sending a report for an Initial Child Protection Conference & Review Conference has changed. This is about improving communication with schools using secure routes, including the receiving in & transfer of documents on pupils.
The case conference report
The report prepared for the conference should be:
·  written by the DSL and or the staff member who has the most knowledge of the child and signed off by the DSL;
·  on School headed paper, authored and signed;
·  be shared with parents, the child/ young person at least 2 days prior to conference and 5 days prior to any review;
·  Arrive at conference 30 minutes prior to the start in order to share your report & read other agencies;
·  10 copies of the report should be taken to conference by the representative.
When writing the report;
·  Use the guide from your organisation
·  Distinguish fact from opinion
·  Focus on the headings in the Safety & Wellbeing Grid
Important information to include and can be a focus for the headings;
·  Presentation
·  Attendance
·  Progress and compared to other pupils/students in the cohort
·  Current concerns
·  History of previous concerns
·  Engagement of the pupil/students & evidence of wishes & feelings
·  Engagement of parents/carers
·  Evidence of participation in meetings
·  Other only relevant information for the purposes of making decisions and creating any plans
The Process / You will receive a written invite to conference through Schoolsnet Secure Folder Area- using the Perspective Lite Guidance issued to all schools including academies previously – This will appear in the folder - SAFE. You should receive this as a notification and 7 days prior to conference. You will also continue to receive a phone call alerting you to the arrangements for the initial conference
You need to send the completed report/s on the pupil/s using the Perspective Lite Portal using DCC service/team in upper case SAFE as per Perspective Lite guidelines. This report should be scanned in 2 days prior to conference

Visit Derbyshire Safeguarding Children’s Board to find out about the latest safeguarding procedures on line.
The business service safeguarding team is responsible for the invites, organising conferences, the minutes & distribution of documents. This team will receive the reports sent via the Perspective Lite secure portal by the school.

Record Retention / Secure folder usage
The school has one nominated user who gets an automatic alert when new files appear.
Schools can only see files intended related to their own school etc. Folders are restricted to certain DCC personnel so only they can see all the files. Schools view their files on Perspective Lite.
Storage
Keep a copy of the invite received & report sent & treat as confidential child protection records
Retain & store safely securely on the child or young person records as per schools protocol.
Retain for purposes of transfer for when a child moves onto another school within DCC or when transferring onto another school in another LA
Treat as any other child protection record when transferring.
