1) / Purpose of the Meeting
GD had called this meeting following BOT decision to appoint a communication team to look after Website, Facebook, Newsletters, Flyers and e mails.At present responsibilities are shared and there is a need to agree a procedure and improve our communication
2) / The following points were raised:
  • Sanjay Thanki (from YBS) has requested permission to load YB details on BSNL Facebook
  • Hall Booking System is planned to be included on BSNL Website-Yagneshbhai and Anandbhai are currently working on it.
  • We need to link PayPal to enable payment for hall booking, membership and functions
  • Need to include Twitter and Instagram
  • All our Newsletters, flyers, emails etc. should have standard Font with BSNL Logos on all flyers to have a standard Layout
  • Number of photos/videos being loaded on Website and Facebook should be limited. The quality should be very good and photos etc. should portray the number attending the function.
  • HMP is working on Web based Database on Cloud which will enable on line membership with facilities to allow change of address, generate membership card,load own photo etc.
  • Consider Bulk Texting (this requires mobile numbers of members)

3) / It was agreed:
  • That current Administrators for the BSNL website will be changed to GD.HMP and AP. All BSNL Sub Group Leaders(Trustees) will be editors. They will check the data and photos to be loaded and send them on to AP for loading on the Face book. AP will have the final say/option to load these photos and data
  • Newsletter will be redesigned using the current template
  • Template will be designed and agreed for the Flyers
  • Communication Team to be AP, BB, VJ, ST, APP. To be led by AP
  • A charge to be agreed by BOT for anyone wishing to advertise in the newsletter or Facebook or website
  • BOT to approve on line membership proposal by HMP
  • Online Hall booking system to be finalised and agreed by Parul Jani and BOT
  • BSNL Facebook to be maintained by BB abs ST
  • Number of photographs /video to be loaded on to BSNL Website and Face book will be limited on the numbers attending the event
  • Up to 100 -5 photos
  • 100-150 10 photos
  • Over 150 20 photos
  • Photos and videos to mainly portray numbers attending the event and should be of high standard
  • AP to be invited at BOT meetings
