Dear Club Presidents and Zone Governors:
Would you please share this information with your club officers and members as soon as possible?
The Woodrow Wilson District Convention will be held on October 28, 2017 at the Sangerville-Towers Ruritan Club. The schedule is as follows:
9:00-10:00 AM – Registration Begins
10:15-11:15 AM – Club Officer Training Sessions
11:30-12:30 AM – Refreshment & Social Break / Silent Auction
12:45-1:45 PM – Business Meeting with Club Delegates
2:00 PM – Banquet, Awards and Entertainment
The cost of this year’s convention is $14.00. All clubs are requested to turn in a count by October 16, 2017 to District Treasurer, Becky Shaw, 540-377-9649 (). Clubs are responsible for the number of headcount they reserve. Preferably, clubs can mail list of names and money in advance to Becky @ 54 Spottswood Rd, Greenville, VA 24440. Thank you for your prompt attention in this matter. The meal will be fixed according to the number of guests turned in attending.
We will be having a silent auction added to this year’s convention. Start collecting items for the auction. This will be something new we are adding and hopefully will have some great items to put up for bid. At the same time you just might find that special item you can’t live without. You will be able to place bids during the convention. There will be a refreshment and social time where you can also visit and place bids on the silent auction.
All clubs are asked to appoint delegates to attend the business session for important district matters to be voted on. 1 delegate per 10 members, rounded to the nearest 10. Example: a club with 38 members can have 4 delegates attend the business session. Their delegate registration cards will be available at the registration table. Please advise them to arrive early for registration and prompt attendance at the business session.
The WWD Nominating committee is seeking members for 2018 District Officer positions. If anyone in your club is interested in a district position, please notify myself, Reggie Wine (1-540-248-2737), Curtis McIver (1-434-361-1645) or David Propst (540-248-1169) as soon as possible. We are especially seeking a District Governor, Lt. Governor, Treasurer, Zone 2 Governor, Zone 3 Governor, Leadership Development Coordinator, Foundation Coordinator, for 2017. Please encourage anyone in your club to consider serving on the district level.
Community Service Reports are due as soon as possible but no later than October 1, 2017. The time frame for this year’s community service reports run from Sept 1, 2016 to Aug 31, 2017. Getting these reports in is very important due to getting awards obtained in time for our convention. Please forward these reports to LDC, Susan McIver, 1-434-361-1645 or email: . Susan recently sent out information concerning the community service reports to all clubs with address and information on where to send and how to do. If you have any questions or concerns, please contact Susan. The fill able forms are found on the ruritan.org website (member’s resources) R4 Community Service Reports. Save to your desktop, complete, then they can be emailed to Susan McIver or printed and snail mailed.
Clubs are requested to send in applications for “Ruritan of Year”, Ruri-Teen and Youth of the year applications along with your clubs community service reports. We must have as soon as possible so we can get plagues and certificates made for all awards. We can’t wait until the last minute and get them made. Applications can be found in the secretary book or on line at Ruritan.org. This is a great honor and each club should find someone to nominate from their club for this award at our upcoming convention.
We will be holding a 50/50 raffle again this year at the convention. The district’s portion will be donated to ALS which is this year’s national project by First Lady Linda Privott.
A memorial service will be held for deceased members from the past year convention date till this year’s convention. If you have had a member decease during this time frame please contact Betty Jo Clemmer, so they may be included in the memorial service.
We will honor members with 50 plus years of service at this year’s convention. Please encourage your members with 50 or more years of service to attend the convention to be recognized. Since we are holding the convention during day time, this would allow all membership to be home before dark.
As you can see we are excited and have planned a great convention for you. A time for fellowship, laughter, good food and entertainment! Please make plans now to attend and we look forward to seeing you on October 28nd at Sangerville-Towers Ruritan Club, 38 Emmanuel Church Road, Mt. Solon, VA.
