Sample E-mail (follow up to phone call) to Attend First Meeting

The reason for my call is to invite you to attend a meeting to learn about a community engagement process that we are organizing here in TOWN. I am working with another TOWN resident, (name). We are reaching out to bring together a small but diverse group of residents who can provide guidance in founding TOWN Listens for community dialogue and problem solving. Local and regional Listens groups are independent but affiliated with NH Listens. You can learn more about NH Listens at .
In forming TOWN Listens, we intend for the effort to be non-partisan – when it comes to identifying the need for and arranging for a forum on a particular issue – one view will not be pushed over another. The meeting being scheduled to learn more about this effort is planned for DATE TIME PLACE.
As I know you are well aware, our community, just like most others, is challenged by a growing list of critical issues in the months and years to come – furthering educational excellence, managing growth and sprawl, advancing childhood development, responding to neighborhood concerns, keeping pace with infrastructure maintenance, prudently managing budgets and taxes and, of course, adjusting to a changing economy are all on this list. To meet these challenges, we need to put in place better opportunities for our community’s citizens to form new relationships, develop trust, and agree upon actions to be taken through meaningful discussions. Having a front row seat in our public meetings, witnessing a growing lack of civil discourse and being keenly aware of the fact that most of our formal public comment opportunities do not allow for open and constructive two way conversations, I do believe together we can develop a better way for citizens to involve themselves and take ownership in solving the growing number of community issues on our plate.
So you are aware, in addition to yourself, other persons that we have invited to this initial meeting are (list names). Each represents different segments and points of views within our community. We’re hopeful you will agree to bring your insight and various perspectives as (a business owner, a lifelong resident, a parent involved in the schools, etc.).
