Job Description

Job Purpose

To support the operation and development of Saint Michael’s by contributing to an effective finance function and to work as part of the Finance team to ensure the operation of effective and accurate financial processes and systems.

Key Tasks

1.Liaising with the Head of Financial Services undertake the initial stages of the budget setting process, producing the framework document and working with and support budget holders to produce a collated budget including updated salary information for completion of the process by the Head of Financial Services.

2. To take responsibility for the initial stages of the quarterly reforecasts, working with budget holders to ensure that the information is received and collated for final review and presentation by the Head of Financial Services.

3.Prepare the monthly management account reports collating all information concerning expenditure, income prepayments and accruals to be reviewed and issued by Head of Financial Services. On an annual basis prepare the accounts for the HDHC.

4.To provide information to the HR team on any expenses payments to be made through the payroll in line with the monthly deadlines. To ensure that monthly payments to the pension providers are made and that any necessary journals processed following each payroll run, using information provided by the HR team.

5. Work with the Head of Financial Services to undertake a monthly reconciliation of balance sheet accounts.

6.Prepare the quarterly VAT return and annual adjustments for review and submission by the Head of Financial Services.

7.To work with the Finance Assistant in maintaining the cash flow records, managing the bank accounts and the transfer of funds, and the payment of payroll and invoices via the BACS transfer.

8.Maintain the monthly fixed asset register and ensure that it is reconciled to records in the accounts system.

9.Together with the Finance Assistant ensure that all information is filed or archived promptly and correctly to support easy access and retrieval, and that archived records are destroyed appropriately in line with Saint Michael’s procedures.

10. Provide cover for cash handling and petty cash processes in the absence of the Finance Assistant to ensure the smooth operation of these processes.

11. To be the administrator for the sage system, ensuring that updates are implemented and users authorised.

12. To balance the Sage and Donorflex records liaising with the Donor Support Team and ensuring that all queries and discrepancies are resolved.

13. To maintain the records of restricted funds ensuring that they are accurate and up to date at all times, liaising with the Fundraising or other teams as necessary.

14. To coordinate and organise the activities of all finance volunteers ensuring that they receive support and guidance as necessary so that they are able to follow procedures correctly and make a real contribution to the department.

Essential Education and Qualifications / Good General Education
AAT (at least part qualified)
Essential Experience / Handling cash
Working in an accountancy or financial accounting environment
Experience of using accounting software systemssuch asSage
Essential Knowledge Skill / Numerate and confident in dealing with figures and information
Understanding of budgets, forecasting
Ability to analyse and collate complex information
Computer literate with advanced skills in Microsoft excel spreadsheets
Good communication skills
