Finance/Personnel Officer

PAY RANGE: / £19,430 - £22,658 Pro Rata
POST Details: / 35Hrs per week , 1365 pa, 39 weeks per year.
(Term Time only)

We are currently looking to recruit a Finance and Personnel Officer to join our vibrant busy administrative department at Rudston Primary School. We are looking for someone who has experience of working with financial regulations, and is a highly motivated individual who is able to use their own initiative, eager to learn and develop whilst working as part of a team under strict financial guidelines and procedures.

Main purpose

To be responsible for organising efficient and effective school administrative and financial systems in accordance with financial regulations and education requirements.

Main duties & tasks

  1. Assist the School Business Manager in the formulation and control of the school’s budget to ensure that there are sufficient funds in each category to meet the needs of the school.
  2. Complete Personnel and Payroll documentation to ensure that all staff are paid correctly and on time.
  3. Ensure an up to date and efficient data base of all personnel details is kept.
  4. Prepare and submit the School Workforce Census.
  5. Assist in the maintenance of the Single Central Register.
  6. Reconcile income and expenditure in line with financial procedures to ensure that all monies are accounted for and that returns are completed correctly and returned by agreed deadlines.
  7. Maintain manual and computerised records to ensure that information is accurate and easily accessible.
  8. Ensure that all orders and invoices are processed correctly and on time so that any discrepancies can be dealt with before they cause problems thus saving the school unnecessary expense.
  9. Assist the School Business Manager in agreeing and arranging lettings to ensure that events to be held are suitable and that financial procedures are adhered to.
  10. Assist in the preparation of books for audit and reports for the Headteacher and Governing Body in line with statutory requirements and to aid the School Business Manager, Headteacher and Governing Body with decision making and planning.
  11. Oversee the school cheque book system to include monitoring petty cash withdrawals, raising invoices, processing payments, maintaining records of expenditure and reconciling these against bank statements to identify any anomalies and rectify these.
  12. Assist in the maintenance the School’s register of assets by including all new purchases of equipment etc., for insurance purposes and to comply with Internal Audit requirements.

Other Admin Tasks

  • Welcome and sign in any visitors on to the site.
  • Answer incoming calls, distribute messages and deal with enquiries.
  • Assist with any other reasonable admin task such as letters, documentation and reprographic tasks as required.

Knowledge, Skills and Experience

  • Good general standard of secondary education including numeracy skills.
  • Must be computer literate and have previous experience of working within financial regulations.
  • Experience in the use of SIMS.net & SIMS FMS is desirable but not essential.
