Supplemental Guidelines and Suggestions for District Public Relations Awards

Suggested data that you may wish to use to provide support for review to augment your application for District Public Relations Awards

Please attach information to support what your club has done during the past year (2014-2015) in the area of public relations for each category in which your club is seeking recognition. Please review the awards listing and suggested documentation

Print news coverage Award Clubs could provide copies of news articles that appeared in print media forms during the course of the 2014-2015 Rotary Year. Documentation could include the name of the publication, date of the publication and the article coverage itself. If you are submitting a web link as backup, it is critically important that the folks on the district PR committee can open the link, that the link has not expired and does not require a subscription in order to see the material covered. If you are submitting electronically, you might consider taking the time to cut and paste the information from a web link into a word or pdf document for easy dissemination among the District Public Relations Awards Sub Committee Members.

Use of Cable TV Award A club could send documentation like a DVD to the Committee for review. Other forms could include making a digital file or Utube copy of the programming used. A written explanation of the use will be helpful

Club Web Site Award Have you established a club web site, or overhauled an older version, or updated your web site? If so maybe your club should be recognized for its efforts. Please consult the literature on tips for effective web sites listed in the communications file on club runner under the district’s PR Committee for tips and guidance on effective web sites. Examples of helpful documentation include both a link that can be accessed by the committee as well as a written narrative describing the features which you think make the web site noteworthy.

Club Newsletter Award Tell us about your newsletter, show us examples of your club newsletter, how often is it published, who receives it, what have you had in the way of feedback for your newsletter? Provide a written narrative describing your newletter, give examples of stories and information covered and the audiences who receive the newsletter itself. Is your newsletter available from your web site? Is it accessible from any other forms of electronic mediums? Please forward copies of a half a dozen publications as readable documents (not web links)

Supplemental Guidelines and Suggestions for District Public Relations Awards

Use of Social Media Award How has your club used social media to enhance its communications and public relations efforts? Do you have a Facebook page? Is it current, and does it showcase the activities of your club? You might consider submitting both a written narrative of the features and functionality of your facebook page and provide links for the review committee to access to see the work your club has done.

Does your club or do your club members tweet about Rotary happenings? How many members of your club are on Facebook? Twitter, Linked in? or other Social Media forms of communication. What are some of the ways your club and members use social media to advance and communicate the Rotary Message and goings on of your club? You may wish to provide a written narrative describing your social media approaches and provide copies of examples to support your narrative.

Innovation in Public Relations Award Have you come up with something totally new for use in public relations or maybe the item you have deployed is not something you invented rather something you learned from another club or district or organization and decided to use as a new tool for your club. You might consider providing a written narrative and any documentation you may have to demonstrate what you did, how it worked and what the results were.

Use of Radio Award Has your club used the radio as a vehicle to publicize or communicate the happenings, events, fundraising, scholarships, fellowship of your club. If so how, you may wish to share with the awards review committee a written narrative describing the activity. Additionally you may wish to send any audio files you may have as supporting documentation or links that can be opened to listen to audio files. If your club had a member or members who were a guest on the Rotary Radio Hour or other radio program, that would count toward recognition as using Radio as a form of Public Relations Communication.

Improvement in PR Award The district wishes to recognize the work done by clubs as they seek to either develop a Public Relations Program or refine old practices, to improve the content and delivery of public relations programming for your club. If you have taken measures to improve two or more areas in the discharge or your public relations program let us know what they are. You may wish to provide a written narrative of what conditions existed before the changes, what changes were made and what the results have been.

Use of Rotary International Showcase Award Rotary International has an International Showcase Web Site for clubs all around the world to communicate with photos and writing some of the projects they have undertaken in their clubs. If your club has contributed to this site, you may wish to forward the documentation you presented so that your efforts can be recognized at the district level.
