Terms and Conditions of Service

The terms and conditions applicable to this post are those of all NHS Scotland Employees.

1. Superannuation

You have the option to join the NHS Superannuation Scheme, to participate in the State Earnings Related Pension Scheme or to take out a Personal Pension.

Employees contributions to the NHS Scheme range from to 5.2% to 14.7% of salary (depending on rate of Pensionable Pay) and the employers’ contribution equates to 13.5% of salary. Employees in the NHS Scheme are “Contracted-out” of the State Earnings Related Pension Scheme and pay a lower rate of National Insurance contributions. Employees who choose to participate in the State Earnings Related Pension Scheme pay the higher rate of National Insurance contribution. A Stakeholder Pension is also available.

4. Annual Leave

The annual leave entitlement in a full year commencing 1st April to 31st March is 27 days, rising to 29 days after 5 years’ service and 33 days after 10 years’ service. There are 8 Statutory and Public Holidays in each leave year. (Pro rata where applicable)

JOB DESCRIPTION –

1.  JOB IDENTIFICATION

2.  JOB PURPOSE
Day to day supervision of the Housekeeping function ensuring that a quality service is provided. Ensuring the highest standards of cleanliness are being met at all times. To train new employee’s to Housekeeping standards.
3. ORGANISATIONAL POSITION
The post reports to the Housekeeping Manager. A housekeeping organisation chart is attached.
4. SCOPE AND RANGE
Must be cost conscious and use resources efficiently and effectively.
Evaluate and order equipment and housekeeping supplies.
5. MAIN DUTIES/RESPONSIBILITIES
·  Ensure that guest bedrooms, public areas and staff areas all comply with established standard of cleanliness.
·  Ensure that all housekeeping equipment is correctly used and maintained in good working order.
·  Maintain effective departmental communication.
·  Conduct housekeeping morning meetings, briefing staff on hotel business levels and issue daily tasks.
·  Operate an effective lost property system, complying with legal requirements and hotel policies and procedures.
·  Be aware of all hotel facilities in order to assist guests with any requests.
·  Ensure that the maintenance reporting system is used correctly and that follow-up is completed, thereby achieving a high standard of maintenance throughout the hotel.
·  Attend monthly ‘update meetings’ with the housekeeping manager.
·  Ensure that the housekeeping office and store areas are kept clean and tidy.
·  Identify individual team members training needs and action ongoing training to address this.
·  Ensure that storage and control of departmental supplies meet hotel standards.
·  Assist with monthly linen stock takes and ensure security of linen.
·  Carry out an effective handover at the end of shift, highlighting rooms that have maintenance faults.
·  Report any damage/incidents to hotel property to the duty manager.
·  Ensure that all staff are appropriately dressed in line with hotel standards at all times.
·  Be continuously aware of and react to guest feedback, and facilitate improved guest service.
·  Ensure that the duty manager is informed of any relevant information regarding the housekeeping department.
·  Support the housekeeping manager as required on staff interviews
·  Accept other duties which will ensure the efficient running of the hotel.
·  Ensure full compliance with the monthly Hotel Green focus.
6.  SYSTEMS AND EQUIPMENT
·  Working knowledge of manufacturer’s instructions for the maintenance and handling of housekeeping equipment e.g. the operation of vacuum cleaners, buffing machine, Rotawash machine, Washing machine and Tumble dryer, etc.
·  Basic IT computer skills
·  Works to Hotel cleaning specifications
·  Works to Board Human Resources policies, procedures and systems.
·  Works with cleaning chemicals such as: Instaclean, multi purpose glass cleaner etc
7.  7. DECISIONS AND JUDGEMENTS
Work is undertaken on own initiative with the need for some supervision. An awareness of
the activities of other departments is necessary as the Job activities are influenced by these.
Examine possible solutions to problems, for example access staffing requirements to meet
workload.
Make daily decisions and judgements relating to employee relations, ensuring that staff are
fully acquainted with relevant procedures and guidelines.
Postholder must be able to exercise judgement when dealing with enquiries and resolving
staff and guest issues, but recognise when support is required.
8.  COMMUNICATIONS AND RELATIONSHIPS

INTERNAL

The postholder is required to develop strong working relationships with staff and Managers to ensure efficient day to day supervision of staff. They will be required to liaise with various departments within the hotel e.g. Front Office, Food and Beverage, Centre for Health and Wellbeing and Kitchen.

9. PHYSICAL DEMANDS OF THE JOB
The post holder needs to be fit and active as the job entails a significant amount of walking.
Frequent requirement for long periods of concentration while preparing staff Rota’s and allocating
departmental daily workload schedule.
Requirement to provide prompt resolution to issues whilst working to tight deadlines

Being involved in stressful situations when dealing with demands of guests, staff and visitors.
Constant prioritisation and re-prioritisation of workload
