RMQHYA Officer Descriptions:
To be an effective officer you should understand what is expected of you. Please read the following descriptions closely so you understand your duties as an officer and leader in the RMQHYA. Remember that the duties outlined here are just a starting point. We encourage you to take on projects not listed here and put your own personal stamp on your position. We will work together to be sure that committees are assigned to members of the board who are passionate about the projects they will represent. If you put your heart into your duties, your experience as an officer will be rewarding. If you have any questions, please be sure to ask.
President:
The president is elected to serve in a very important position. As the leader of the RMQHYA you should strive to be a leader your peers can be proud of. We hope that this list will give you an idea of what we expect from you this year:
Supervise the working of the RMQHYA
Run all RMQHYA meetings
Work with the youth advisors and fellow officers to put together an agenda for all meetings
Address the membership during the annual convention
Provide leadership and set a high moral standard
Encourage growth, ideas, involvement, and communication
Serve as a voting delegate at the AQHYA Convention
Attend Show and Performance committee meetings as time allows
Serve as an ambassador for the RMQHYA as requested
Vice President:
The vice president will be instrumental in supporting the president, fellow officers and the youth advisors in assuring that the year goes smoothly. The more the vice president stays in touch with other leaders in the RMQHYA, the more rewarding the experience will be. The vice president should be prepared to help out frequently during the year. Please look over the following list to get an idea of what will be expected from the vice president:
Conduct RMQHYA business when the president is absent
Serve as a voting delegate at the AQHYA Convention
Be willing to take on odd jobs and activities when asked, be available to help with various committees and RMQHYA projects
Serve as an ambassador for the RMQHYA as requested
Secretary:
The secretary is in charge of communication. They serve a vital function of recording the business of the association and providing minutes from meetings to keep the membership informed of what projects the RMQHYA is working on. We hope this list will give you an idea of what we expect from the secretary:
Record minutes and attendance at all RMQHYA meetings
Submit typed minutes and attendance to the advisor within 14 days of all meetings
Notify members of meetings, fund-raisers and other RMQHYA activities by talking with the announcer at shows, posting flyers and being a point of contact for those with questions
Write and send thank you notes for all applicable situations
Treasurer:
The treasurer is in charge of the funds for the RMQHYA. They are responsible for keeping a log of the money received and money spent by the association. We hope this list will give you an idea of what is expected from the treasurer:
Outline fundraisers for the year
Be the contact person for on-site fundraisers
Collect and deliver fundraising money to the advisor
Communicate with the secretary and reporter to notify membership of fundraisers
Record participation for all fundraisers for the year end award qualification
Help establish a budget for the World Show, RMQHYA Leadership Retreat, the Congress Team, Year End Awards, RMQHYA Fun Night, etc. . .
Reporter:
The reporter is responsible for keeping the RMQHYA membership informed about what is happening in the RMQHYA and AQHYA. The reporter should feel free to add their own personal style to their articles. We hope this list gives you an idea of what will be expected of the reporter:
Submit monthly articles to the RMQHYA magazine and by the 1st of the month prior to publication
Keep in touch with your fellow officers and know what is going on in the association
Take pictures at RMQHYA activities for use in the magazine, on the web site and in the scrapbook
Help the scrapbook committee put together the annual scrapbook
Board Members:
Board members are the decision makers for the association. They vote on issues that face the RMQHYA, set goals for the year, and create a plan to reach those goals. Serving as a board member is an excellent way to become more active in the RMQHYA and gain an understanding of what goes on behind the scenes. There are five regional directors* and five at large directors. We hope this list gives you and idea of what will be expected this year:
Attend all board meetings (a minimum of four must be held each year)**
Be active on at least on committee
Check in with the advisor and president at least once a month
Be able to represent RMQHYA as an ambassador as requested
Regional directors should be active in finding ways to involve horse enthusiasts at the local level while promoting RMQHYA and the American Quarter Horse

**The only excuses for missing a board meeting are outlined in the RMQHYA by-laws as personal illness or a death in the family. If you don’t fulfill your duties as a board member you will be excused from your position, and be replaced by another member.
