Volunteer Information Letter

The JBRS Rapid Barracudas Swim Team is an entirely all-volunteer program. To ensure the program runs smoothly, providing the best experience possible for the kids, each swim team family will be required to provide an adult volunteer at 4 swim meets. The attached Volunteer Form provides an opportunity for you to indicate your preferred swim meet dates to work. Please complete the form and turn in at Registration. Swim Team members will be notified at the beginning of the swim season of their assigned volunteer dates and duties. See brief descriptions below.

Volunteer Positions

Timers Timers stand at the end of each lane and use a stopwatch to record finishes. Home team provides 16 timers per meet.

Stroke and Turn Judge This person is responsible for judging strokes and turns. Responsible for disqualification of swimmers. A basic knowledge of swimming is helpful. (Trained position)

Clerk of Course: Responsible for making sure the correct swimmers from both home and visiting teams are at the blocks and ready to go for each event. Home team provides the clerks.

Bullpen/staging Area: Responsible for organizing swimmers from both teams for upcoming events. We usually have 2 people gathering children and 2 people in the bullpen. From this point, the children are sent to the Clerk of Course.

Runners: Collect lane sheets after events and get them to computer table.

Ribbons: Responsible for placing label on appropriate ribbon. These ribbons are then filed by last name in file folder mailboxes. We have 3 ribbon volunteers.

Concessions: Responsible for sale of food and drinks at all home meets. We usually have 2 people work the concession stand.

Set Up: Responsible for sitting pool area for home meets.

Clean Up: Responsible for cleaning pool area after home meets.

Starter: Starts race and controls pace of meet.

Scoring Table – At home meets, the scoring table involves getting the timing sheets in order and assisting in data entry by reading the scores to the computer data entry person. At away meets, the responsibility is verifying the times that have been entered.

Computer – Entering the times for the swimmers for each event. Home meets only.

Swim Team Member/Parent Expectations Form

·  Assist your child in attending practices regularly. This will strengthen the swim team member and the team as a whole.

·  Only swim team members are allowed in the pool during swim practices and meets.

·  An adult responsible for your child must be present at all practices, meets or swim team events for any child under the age of 12. Lifeguards will NOT be present at practices or meets. Parents are responsible for ensuring the safe arrival, stay and departure of their swim team member no matter what the age of the child. The Coach’s will be focused on coaching. Other swim team volunteers and committee members will NOT always be present.

·  Swim practice is your child’s time with the coach. Please wait until after practice to speak with the coach or schedule a convenient time to meet.

·  Check email and the JBRS website regularly. (Swim Team communications will be posted on neighborhood websites with a link to the swim team website.)

·  Inform Swim Coach no later than Fridays swim practice if your child will be unable to attend the following weeks swim meet. (Race schedules are established over the weekend. As some races are relays, unplanned absences from meets can impact multiple children. Ex. If one member of a four member relay team does not show up as planned, the three remaining children cannot race. The remaining children are then upset that they are unable to participate as planned.)

·  No-shows for meets will be scratched from all events 30 minutes prior to meet start time. (If unexpectedly running late for a home meet, call the pool at 770-263-0982 or at an away meet, call Marti at (404) 918-5802 or Helen at 678-520-2506.

·  Arrive for swim meets 1 hour before start time. This allows the coach time to warm up the team, etc.

·  Parents will need to ensure their child is in the “bullpen” at the appropriate time for each race. Swimmers (6 & U and 7-8 MUST stay in the bullpen to ensure correct lineups. (You will be notified of which races your child will be participating in. Each race will be identified by number. Numbers will be called throughout the meet, indicating the racers should proceed to the bullpen.)

·  Regardless of how the weather is at home, go as scheduled to the swim meet. The weather may be fine at the pool where the meet is held. Meets aren’t official until after the 44th event is completed. In case of bad weather, the meet may be delayed until it is determined the weather will not improve. Please stay at the meet facility until an official cancellation is called. Every attempt is made to safely make at least 44 events, as rescheduling during the summer months is often impossible.

RSST Rapids Important Dates

Registration & Swim Suit Order: March 25 from 5pm to 6:00 pm

at River Station Swimming Pool. Towels and swim caps will also be available for purchase.

After School Practices: May 11-20

4:15 to 5:00 ages 7 to 10, 5:00-5:30pm ages 6 and under, 5:30-6:15 ages 11 and up.

Summer Practices: May 21 through July 1 (County swimmers may swim until July 10)

Morning

Mondays-Fridays Practices to be held in the mornings (ages 7-10 9:00-10:00, ages 6 & under 10:00-10:30 and 11 & up 10:30-11:30.)

Afternoon practices for morning campers or working parents.

All ages 6:00 pm to 7:00 pm. All week days excluding meet days.

Donut Days Mornings after swim meets, awards will be presented and donuts served.
