RIMS Chapter Officer Contact Manager System

Access instructions along with screen shots are listed below. Utilize system to send emails to chapter members, manage chapter contact list(s), and run membership reports. If you need additional assistance with the system, please email or call (212) 655-6033.

Login to and under the Membership tab click on Officer Tools and Training.

  1. Select a function from the Membership Management menu.

  1. If you are a Chapter Officer, click on the Chapter Membership Reportslink to access four reportsto further strengthen your chapter engagement and local participation. (see email templates)

New Members / Accessing the New Member Report on a monthly basis to communicate with members that have joined in the last 30, 60 or 90 days to engage them at the chapter level.
Expired Members / Having a local practitioner follow-up with members listed on the Expired Member Report that have allowed their membership to expire will help increase the member reinstatement rate, by reinforcing the value of local peer connections.
Expiring Members / Utilizing the Expiring Member Report to communicate the value of the local chapter with members expiring in the next 30 or 60 days will increase the member retention rate.
All Members and Non-Members / Assessing the Full Member Report to promote local meetings and RIMS events with existing chapter members and prospects will increase their level of engagement.
  1. If you click on New Membersor Expired Membersthe system will offer you a few options based on the join date criteria you select. Click Search button at the bottom of the screen to run the report.

There are no restrictions on the types or frequency of messages that a Chapter Officer may send to its contacts through this system. CAN-SPAM regulations require that any email blasts must contain an opt-out function. The RIMS Contact Manager system includes an "unsubscribe" function.   1. If you click on Expiring Membersyou are given slightly different options under the joined date criteria
  1. If you click All Members and Non-Membersyou may want to utilize the filter field because the target group is larger. If you don't select anything and just click on search, the results will include your entire contact list, which includes professional members, associate members, non-members, prospects, mailing list names, past member, contacts…

  1. Once the email lists is complete, click on Send Email, enter a subject line and create your message (Email template verbiage is available on RIMS.org).

You can attach a file or save your current message as a standard template to use in the future. Click on preview button when the email is complete.

Review message and click send email at the bottom of the page to send the email to everyone on the list you selected.

Choose your RIMS Affiliation, and your RIMS chapter.

Scroll down to the bottom of the page and select Add Contact

Enter First Name and Last Name and click on Search button. Select person from the list and press Select or click on None of the above, enter contact information and press Save.

Click on the Delete link to the left of a contact name to remove the person from the chapter database. Chapter Officers cannot delete a RIMS member from the database. If a request is entered the system user will receive a message and an email will be sent to the RIMS Staff,so the request can be confirmed.
