REVISED FIELD TRIP GUIDELINES

  1. Responsibilities of Faculty Joining the Field Trip
  1. Field Trip Coordinator (Field Trip Committee Chair)
  1. Consolidates and submits field trip proposals at the start of the semester for approval of the VCAR
  2. Attends the initial and final bidding
  3. Assigns Field Instructors and appoints Officers-in-Charge
  4. Compiles and evaluate Field Instructors’ reports and students’ evaluation after the field trip for submission to the Department Chair

Before the Field Trip

  1. Submits field trip proposal to the Field Trip Committee
  2. Attends the initial and final bidding
  3. Requests for the Parental Consent Forms (PCF) from the Office of Students Services (OSS)
  4. Ensures orientation is given to students by the Subject Teacher
  5. Collects the PCF from the Subject Teachers for submission to the OSS

During the Field Trip

  1. Must join the field trip as the Faculty-in-Charge for the activity
  2. Coordinates with the other Field Instructors regarding the performance of the laboratory/field activity
  3. Oversees and ensures that the objectives of the activity are attained and executed

After the Field Trip

  1. Facilitates evaluation through the Subject Teacher and Field Instructors
  2. Consolidate Field Instructors’ reports and students’ evaluation for submission to the Field Trip Committee
  1. Subject Teachers
  2. Orients students concerned on the Do’s and Don’ts of the activity
  3. Explains the objectives and program of activities, including the laboratory/field activity, of the field trip
  4. Distributes and collects the PCF and other required documents at least one week before the schedule of the activity for submission to the Subject Coordinator
  5. Must join the field trip as Field Instructor
  6. Facilitates students’ evaluation for submission to the Subject Coordinator
  1. Field Instructor (all faculty/staff joining the field trip as guide/facilitator)
  1. Checks the attendance (head count) and ensures that all students joining the trip have submitted the PCF and other required documents before departure
  2. Ensures the safety and well-being of the students assigned to him/her (bus assignment) for the entire duration of the activity
  3. Facilitates the performance of the laboratory/field activity of the students
  4. Reports/Informs the Subject Coordinator for any concerns happened during the activity
  5. Prepares and accomplishment report and facilitates students’ evaluation for submission to the Subject Coordinator
  1. Field Equipment Officer (Laboratory Technician joining the field trip)
  2. Manages issuance and returns of materials and equipment for the laboratory/field activity
  3. Assists Field Instructors in facilitating laboratory/field activity
  4. Serves also as Field Instructors for tree planting and clean-up activities
  1. Specific Guidelines for Field Instructors (Faculty Joining the Field Trip)
  1. Upon approval from the OVCAR of the field trip proposals, the Field Trip Coordinator, in consultation with the members of the Field Trip Committee must submit a list of faculty joining the field trip (Field Instructors) based on 1:25 ratio of students and facilitator.
  1. The Subject Coordinator and all Full-time Subject Teachers (lecture and laboratory) must join the field trip as Field Instructors.
  1. In case that the number of subject teachers does not satisfy the required ratio of students and facilitator, additional faculty will be selected to join the field trip as Field Instructors using the following criteria:

a.Full-time faculty with the least affected classes

b.Part-time faculty Subject Teachers

  1. Faculty (full-time and part-time) joining the field trip as Field Instructors must conduct advance make-up class or file holding of activities for his/her classes; full-time faculty may also assign faculty-substitute.
  1. For overnight field trips, faculty who served as Field Instructors shall be the following allowed off-setting during semestral and summer breaks.

  3. Schedule/Program of Activities
  4. Inclusion/Breakdown of Expenses
  5. Evaluation/Feedback
  6. Accomplishment Report
